Job Description
Job Title: FSQA/Maintenance Documentation CoordinatorDepartment: Quality AssuranceReports To: QA ManagerFLSA Status: ExemptSummary The documentation coordinator will assist the FSQA and Maintenance departments in maintaining equipment certification and compliance of daily records. Essential Duties and Responsibilities include the following: (Other duties may be assigned), To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Help to coordinate required certifications/compliance for specified equipment.Setup and validate new machines and create a system to ensure validation renewals.Maintains and updates the ERP systems for the Quality departments.Performs the daily pre-shipment review and verification of procedures in Legacy System.Maintains documentation manuals and logs to ensure accuracy and completeness.Completes and submits completed action items from 3rd Party auditing.Review testing results from the laboratory and release finished products into commerce based on parameters listed in Prime Foods’ specifications.Assists the FSQA Manager facilitating the internal audit program. Upon completion of the internal audits, the Food Safety Documentation Coordinator will be responsible for documenting any applicable findings and corrections.Complete customer documentation requests.Responsible for submission of laboratory documentation and samples. Perform verifications of daily quality assurance paperwork and/or verifications in Legacy System.Performs quality reviews for compliance with stated requirements, including vendor quality manuals and company quality records, such as label approvals, lot approvals, label reviews, etc.Maintains a working knowledge of government and industry quality assurance codes and standards.Exhibit technical competence in the planning and completion of assigned projects.Monitors CCPs identified within our HACCP plan for compliance. Works with Quality management to record and/or create and follow action plans to correct any deviations or exceptions identified.Communicates significant issues or developments identified during quality assurance activities and paperwork reviews to management.Assist management in enforcing Good Manufacturing Practices, HACCP, allergen controls, SQF Code, and USDA guidelines.Develops and maintains training documents that relate to quality processes. Skills and Qualifications High School Diploma or GED, AAS or coursework in high-level mathematics preferred, but not required.2+ years in a Food Manufacturing positionStrong knowledge of Good Manufacturing PracticesHACCP certification or the ability to obtain HACCP certification within 6 months of employment.SQF certification or the ability to obtain SQF certification within 6 months of employment.Must be able to read and write proficiently in English, the ability to also read and write proficiently in a 2nd language is preferred, but not required.Must be skilled in high-level mathematical reasoning including algebra, geometry, and statistical analysis.Must be meticulous, organized, and vigilant in completing complicated tasks. Physical DemandsBe able to stand for several hours.Be able to move, bend over and under equipment if necessary.Be able to lift and or move up to 35 pounds consistently, and up to 50 pounds occasionally.Be able to grasp and finger on a frequent basis.Be able to use non-vibratory tools. Work EnvironmentThis position performs in a 50% split between a traditional office environment and a manufacturing environment. The employee will be expected to work with general office equipment, including but not limited to: Telephones, fax machines, postage machines and shredders.In the manufacturing environment, exposure will be frequent and harsh. Exposures include, but are not limited to: cold, heat, dust, smells, loud noises, and damp and wet areas.All employees are responsible for adhering to the guidelines set forth by the company to ensure the production of safe, quality food.As an employee in an SQF certified facility, this position will be informed of all changes to Food Safety requirements, held accountable to those changes and empowered to act on matters pertaining to food safety.Provisions for VacancySome functions of the Food Safety Documentation Specialist position are necessary to maintain regulatory compliance with various government agencies. In the instance of vacancy or absence, these responsibilities will be assumed by the Quality Manager.
