Job Description

Receptionist & Site Administrator

Job Summary:
The Office Manager will oversee the general administrative functions and activities of the office.

Supervisory Responsibilities:

  • None


  • Oversees the daily work activities of the office.
  • Performs or facilitates maintenance of office equipment including cleaning, maintenance, and repairs.
  • Greets people as they enter the Agency, answers calls, answers general information questions, screens  visitors, and delivers messages. 
  • Types memos, correspondence, agendas, and reports as required. 
  • Assists with accounting functions as assigned, e.g., ledger entering, account processing, etc.  
  • Make appointments and inform staff members of meetings. 
  • Provides clerical support when needed to assist clerical staff with assigned administrative duties such as answering phones, sorting, and distributing mail, and preparing documents.
  • files and records.
  • Performs other related duties as assigned. 

Required Skills/Abilities: 

  • Ability to type at least 60 words per minute.
  • Extensive knowledge of office management procedures.
  • Excellent verbal and written communication skills. 
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Proficient with Microsoft Office Suite or related software.

Education and Experience:

  • High school diploma or equivalent required; Associate’s degree in office administration or related field preferred.
  • At least three years of administrative and clerical experience required.
  • Physical Requirements: 
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift to 15 pounds at times.
