Job Description
Receptionist & Site Administrator
Job Summary:
The Office Manager will oversee the general administrative functions and activities of the office.
Supervisory Responsibilities:
- None
Duties/Responsibilities:
- Oversees the daily work activities of the office.
- Performs or facilitates maintenance of office equipment including cleaning, maintenance, and repairs.
- Greets people as they enter the Agency, answers calls, answers general information questions, screens visitors, and delivers messages.
- Types memos, correspondence, agendas, and reports as required.
- Assists with accounting functions as assigned, e.g., ledger entering, account processing, etc.
- Make appointments and inform staff members of meetings.
- Provides clerical support when needed to assist clerical staff with assigned administrative duties such as answering phones, sorting, and distributing mail, and preparing documents.
- files and records.
- Performs other related duties as assigned.
Required Skills/Abilities:
- Ability to type at least 60 words per minute.
- Extensive knowledge of office management procedures.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Proficient with Microsoft Office Suite or related software.
Education and Experience:
- High school diploma or equivalent required; Associate’s degree in office administration or related field preferred.
- At least three years of administrative and clerical experience required.
- Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift to 15 pounds at times.
