Summary:

Incumbent's primary responsibility will be scheduling transit appointments through a centralized scheduling system for transportation in a professional and friendly manner.

Essential Responsibilities and Duties:

  1. Provides public transportation information to passengers, the general public and other agencies.
  2. Provides quality customer service and responds to inquiries/requests for service in a courteous manner.
  3. Creates, maintains and monitors computerized daily schedules for dispatching and routing transit services; modifies and updates schedules to improve services.
  4. Confirms daily scheduled transports with clients.
  5. Performs a wide variety of clerical duties including answering a multiline-phone, receiving/sorting mail and data entry.
  6. Scheduler will operate vehicles, wheelchair lifts/securements, computers, cell phones, scheduling software and other equipment as necessary.
  7. Tracks and reports any denials, cancellations and no-show appointments.
  8. Works closely and cooperatively with Ponca Tribe of Nebraska staff in order to meet coordinating transportation needs.
  9. Collects vouchers from vendors and record them for processing.
  10. Continuously learns and implements all new procedures, regulations and requirements.
  11. Maintains appropriate monthly records and reports.
  12. Attends and completes Passenger and Safety Securement, Defensive Driving, Distracted Driving and Drug & Alcohol Awareness courses.
  1. Follows the drug and alcohol policy and testing requirements.
  2. Knows and follows the mission, organization, program requirements and policies of the Ponca Tribe of Nebraska.
  3. Be well versed in and abide by transportation laws, rules and regulations.
  4. Return voicemails and correspondence within an established timeframe.
  5. Recognizes the need to respect the rights, dignity and privacy of clientele.
  6. Maintains complete confidentiality and honor the Privacy Act and HIPAA in all activities.

Relationships and Authority:

This position has no supervisory duties.

Working Environment and Physical Demands: Professional office environment. Periodically handles high volume inbound/outbound calls. Sits, stands, bends, lifts and moves intermittently during work hours. Must be able to work with the ill, disabled, elderly, emotionally upset and at times, hostile people.

Qualifications:

Minimum:

  1. High school diploma or GED.
  2. One year of office experience.
  3. Computer proficiency in Microsoft Word and Excel.
  4. Excellent written and oral communication skills.
  5. Valid driver's license and be insurable.
  6. Successfully pass drug and alcohol testing, motor vehicle, education, character and criminal background checks.
  7. Able and willing to travel.

Preferred:

  1. Associates degree in administrative assistant or similar degree.
  2. One year experience in office an office setting.
  3. One year experience working with Native Americans or Native American organizations.
  4. Knowledge and understanding of Public Law 93-638: Indian Self-Determination Act, Tribal organizations and funding opportunities.

Preference will be given to Ponca Tribe of Nebraska members or members of a federally recognized tribe. However, all qualified individuals are eligible.
