Jr. Grant Consultant

Plexos Group is looking for a Jr. Grants Consultant to join our team! You will be responsible for performing advanced (senior-level) administrative support or technical program assistance work related to federal grants administration. Work involves coordinating the disseminating of information, developing filing systems, and performing specialized duties pertaining to fiscal, administrative and programmatic support of the grant monitoring activities. Works under limited supervision with considerable latitude for the use of initiative and independent judgment.

ESSENTIAL DUTIES/RESPONSIBILITIES:

1. Organize workflow and workflow tracking mechanisms for Program Leads to equalize workload across work centers and ensure rapid access to information.

2. Verify the nature and amount of grant-related expenditures through examination of supporting records. Prepare payment requests and compile supporting documentation.

3. Prepare work plans and timelines to ensure submission of state or federal grant applications and program reports in a timelymanner.

4. Interpret, disseminate information, and respond to inquiries concerning agency programs and procedures.

5. Coordinate the preparation, editing, and distribution of correspondence, reports, studies, forms, and documents.

6. Coordinate general office duties such as ordering supplies, performing basic bookkeeping work, and assisting with general human resources work.

7. Coordinate meetings, conferences, and seminars.

8. Develop, and maintain filing, record-keeping, and record management systems.

9. Compile and edit data for charts, graphs, and databases, and prepare summaries or reports.

10. Perform simple to routine reviews that are primarily small in scale to determine compliance with laws, rules, and regulations.

11. Assist in researching technical issues.

12. May provide assistance answering phone calls, routing incoming calls, taking messages, greeting visitors, and directing visitors to the appropriate staff.

13. May research, compose, design, or edit firm publications such as brochures, forms, manuals, reports.

14. May develop and review training materials.

15. May deploy to the Joint Field Office in the aftermath of a Presidentially declared disaster.

16. Perform other duties as assigned.

GENERAL QUALIFICATIONS and REQUIREMENTS:

1. Education – High School Diploma or the equivalent.

College education may be substituted in lieu of the experience requirements on a year-for-year basis, with thirty (30) semester hours equal to one (1) year of experience to a max of two (2) years.

2. Experience – Minimum of four (4) years of responsible work experience in positions involving administrative, financial, or grant related support work related to any combination of emergency management, hazard mitigation, financial compliance, publicadministration, real estate, commercial construction, insurance adjusting, or military staff planning

3. Interpersonal skills – Must exercise excellent interpersonal skills - position continually requires demonstrated poise, tact, diplomacy, and an ability to establish and maintain effective working/professional relationships with external and internal customers. Ability to communicate effectively (oral and written).

4. Analytical skills - Must be analytical, detail-oriented, and able to multi-task without sacrificing accuracy or timeliness. Ability to analyze problems, identify causative factors, and apply actions to effectively resolve current, and prevent recurrences of, problem conditions. Ability to develop statistical reports, to compile and analyze statistical data, to conduct qualitative and quantitative analysis.

5. Organizational skills - Must be organized, flexible, and able to prioritize in a multi-demand environment.

6. Computer Skills – Ability to utilize standard office equipment, personal computer and associated word processing, spreadsheet, presentation, database, and graphic software.

7. Regulatory knowledge - Working knowledge of, or the ability to rapidly assimilate information related to State, and Federal, regulations, legislation, guidelines, policies and procedures. Ability to implement new administrative systems and procedures and to evaluate their effectiveness. Ability to learn and effectively apply working knowledge of federal, state and agency rules related to grant eligibility and reporting requirements.

8. Confidentiality - Must be able to responsibly handle sensitive and confidential information and situations.

9. Driving requirement – Must have a valid driver license from state of residence.

10. Background requirement – Must be able to pass a general background investigation.

11. Travel Requirement – 50%
