Description/Job Summary

We are looking for a reliable Office Administrator. They will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently. The tasks of the office administrator will include supporting the Personal Lines Producer with service work and communicating effectively with clients. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy. The office administrator ensures smooth running of our company's office and contributes in driving sustainable growth.

  • Manage phone calls and correspondence (e-mail, letters, packages etc.)
  • Assist with daily mail, both incoming & outgoing
  • Support budgeting and bookkeeping procedures
  • Track stocks of office supplies and place orders when necessary
  • Submit timely reports and prepare presentations/proposals as assigned
  • Assist colleagues whenever necessary
  • Manage bank deposits & communicate to the accounting department
  • Processing policy transactions in account management system including:
  • - Issuing Auto ID Cards
  • - Issuing Certificates & Evidence of Property
  • - Data Entry
  • - Binding Policy Proposals in Covers
  • - Assisting in processing Policy Cancellations & Reinstatements
  • - Following up on payment statuses on accounts
  • - Assisting with Invoicing & Deposits
  • - Assisting with other job-related duties as assigned by manager

Preferred Skills

  • Proven experience as an office administrator, office assistant or relevant role
  • Outstanding communication and interpersonal abilities
  • Excellent organizational skills and attention to detail
  • Familiarity with office management procedures and basic accounting principles
  • Ability to operate various office machines including switchboard, fax machine, copier, scanner, etc.
  • Excellent knowledge of MS Office and office management software (ERP etc.)
  • Qualifications in secretarial studies will be an advantage
  • High school diploma; BSc/BA in office administration or relevant field is preferred

Preferred Experience

  • Administrative Assistants & Receptionists: 1 year (Preferred)
  • Customer service: 1 year (Preferred)
