JOB TITLE: Applications Trainer

FLSA Status: Non-exempt

GENERAL SUMMARY OF DUTIES: The Applications Trainer will be responsible for delivering end-user training for physicians, clinical and non-clinical staff to develop competence in the use of clinical and business information systems and other computer software applications for various departments within the practice. In addition, this position will provide support to end users for the patient portal, including support with registering patients as users of the portal serves, troubleshooting and resolving issues, as well as portals business process expert, and as the main point of contact for all patient needs. This position will also support workflow and performance improvement efforts to clinical, operational and other processes.

SUPERVISION RECEIVED: Reports to the Director of Operations.


TYPICAL PHYSICAL DEMANDS: Requires prolonged sitting, some bending, stooping and stretching. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment. Requires normal range of hearing and eyesight to record, prepare and communicate appropriate reports.

TYPICAL WORKING CONDITIONS: Normal office environment.

  • Requires Associate's Degree in business, information systems or closely related field; Bachelor's Degree preferred; or the equivalent combination of education and experience.
  • Five years or greater experience in healthcare including two to three years of project management and/or patient relations experience. Strong knowledge of physician practice and/or hospital business process.
  • Strong understanding of healthcare continuum and how a portal can facilitate enhanced patient engagement and improve access.
  • Must possess exceptional interpersonal communication skills and have the ability to create a favorable impression for the organization to all staff, physicians, patients and the public.
  • Must display a high level of confidentiality, integrity and initiative.
  • Ability to form positive and collaborative relationships with all levels in the organization.
  • This position requires strong organizational and excellent communication skills as well as being highly motivated and detail oriented.
  • Must have a strong sense of team commitment, which includes meeting deadlines, punctuality and excellent follow-through and feedback.
  • Must have demonstrated proficiency, skills and knowledge of healthcare related information systems, MS Office products, etc.
  • Possess the ability to identify gaps or problems in business processes and develop ideas to resolve them.
  • Have strong ability to lead and or work as a member of various cross-functional teams.

Required Qualifications:
  • Bachelor's degree
  • 2+ years of process improvement experience
  • 2+ years of healthcare experience
  • 2+ years of experience performing workflow improvement/automation, preferably in health care settings
  • Being a team player willing to cover and learn other roles and functions

Preferred Qualifications:
  • 2+ years in a clinical / health technical IT setting using an electronic medical record
  • Six Sigma knowledge
  • Detail oriented, with careful attention to work processes and focus on delivering high-quality results
  • Strong time management, organizational, and prioritization skills with the ability to balance multiple priorities, track and manage requests and deliverables, and meet deadlines

  • Perform project and administration tasks including data collection, production and distribution of project documents, report creation, and team collaboration.
  • Monitor multiple customer contact points such as calls, email, chat, and written correspondence.
  • Move resources throughout the day to maintain service levels in all channels as needed to meet goals.
  • Responsible for creating and distributing various detailed reports including service level performance and staff/physician productivity and achievement.
  • Identify irregular trend activity, and gather factual information presenting as a basis for decision making. Provide input to a project schedule and participate in project meetings.
  • Assist in the planning, implementation, training and rollout of the Patient Portal at all PE locations.
  • Training of users, super-users, and small groups of physician office employees, including employee orientation.
  • Work with the marketing and interactive areas of PE to coordinate internal and external promotion and training rollouts to meet usage goals.
  • Attend and participate in facility meetings as requested.
  • Solicits patients in physician waiting area to register for the PE Patient Portal
  • Presents concept of the patient portal to the patient in a manner that is concise and easy to comprehend.
  • Demonstrates the use and advantages of using the patient portal.
  • Educates and assists patients on the registration process.
  • Answers, troubleshoots and finds resolution to all questions related to the use of the patient portal.
  • Escalates unanswered questions and issues to the Management.
  • Tracks and records the registrations via Medfusion.
  • Communicates technical and software issues to appropriate IT support personnel.
  • Identify process and program improvements, based on available data, role objectives and program outcomes
  • Participate with multi-functional team to translate optimized workflows into actual system functionality
  • Work with multi-functional team to help test and validate optimized clinical management workflows
  • Oversees creation and management of an on-going technical training program designed to meet organization-wide objectives and specifically the objectives of the EMR / PM systems.
  • Serves as the primary liaison for to care providers and clinical departments relating to the HIS.
  • Works closely with the IS Team to understand EMR / PM application changes and/or new functionality for inclusion into the training curriculum.
  • Other duties as assigned.
