Job Description The Job The Office Manager is the glue that ensures the seamless operation of the company. Must be within a commutable distance of the office. Essential Job Functions * Open and welcome everyone into the office. * Be the first point of contact for all employees and visitors; set up visiting employees with a desk, wifi, and door access as needed. * Front desk management; provide general support to visitors. * Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed/approved, and clerical functions are properly assigned and monitored. * Maintain a safe, secure, and pleasant work environment. * Manage office badges, parking key cards, and parking validations. * Manage relationships with vendors, service providers, contractors, and the landlord, ensuring that all items are invoiced and paid on time. * Ownership of in-office lunches: order, coordinate, set up, and clean up. * Ownership of daily coffee service. * Set up and manage new vendor services (water service, food delivery, coffee service, hotel/restaurant reservations, etc.). * FedEx and ship new employee laptops and any other packages as needed; receive incoming deliveries and packages. * Be the main point of contact for facility maintenance issues and equipment. * Inventory management of drinks, snacks, and office supplies. * Replenish and organize inventory adn office supplies; keep the storage supply room organized and maintained. * Keep the entire office clutter-free; ensure all trash and equipment boxes are taken out daily. * Establish a historical reference for the office by outlining procedures for protection, retention, record disposal, retrieval, and staff transfers. * Ensure the security, integrity, and confidentiality of data. * Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement, layouts, and office systems. * Personal assistant responsibilities for the Founding CEO as needed.
