Position Summary

The Operations Administrative Assistant reports to the Network Manager and is responsible to support manager and their teams.

 

Essential Roles and Responsibilities

  • Attend and canalize inbound calls that are received at PharmPix Reception.
  • Receive visitor and register in the system.
  • Maintain the log of all returned checks.
  • Search in internal system for letters of approval and denial medication to be send to recipients.
  • Generate reports of the drug approval and denial letters sent in a daily and monthly basis.
  • Maintain calendar’s schedules for meetings and confirm appointments for the conferences.
  • Coordinate the visit and presentations with pharmaceuticals companies and other meetings requested.
  • Maintain the log of all returned checks.
  • Deliver the received mail to the different departments.
  • Support all Quality Management Program initiatives.
  • Special projects and other duties assigned by the Network Manager.
  • Edit PDF documents received from Clinical and Call Center Department. Set up and maintain filing systems of the Pharmacy Network Department.
  • Support Network department in credentialing process as required.
  • Responsible of the minutes of interdepartmental meeting of the Operation Department.
  • Making outbound calls to pharmacies/providers if necessary. 
  • Maintain logs of the minutes and documents discuss in meetings.
  • Maintain the supplies of the office supply.
  • Manage office space.

 

       Professional Experience and Skills Requirements:

  • Associate’s Degree in administration,  management or related field.
  • Proven experience of producing correspondence and documents.
  • Proven experience in information and communication management.
  • One (1) or two (2) years of office or commercial work experience.
  • Knowledge and experience of relevant software applications - spreadsheets, word processing, and database management.
  • Knowledge of administrative and clerical procedures.
  • Can demonstrate proper procedure for sorting materials, documents, letters, and reports, for filing purposes.
  • Ability to utilize a single and/or multi-line telephone system, and accurately record and route messages.
  • Ability to accurately prepare reports, summaries, etc., as needed.
  • Fully bilingual Spanish and English.
  • Proficiency in the use of Microsoft Tools: Excel, Word, Outlook, Office 365, Power Point and industry related software programs.
