Job Description

This position requires a minimum of 3 to 5 years administrative experience, proficiency in Window-based applications of Microsoft Word, Excel, Outlook, PowerPoint, and Quick Books software, with the ability to learn new software easily; complete tasks with thoroughness and accuracy; and with excellent verbal and written communications skills. The position responsibilities include project coordination, preparation of correspondence, reports, and presentations, database and file management, telephone communications, and special projects as assigned by the Assistant Executive Director/Director. This position supports the executive staff of the organization and supports the accreditation process to evaluate providers of continuing pharmacy education.

Following, but not limited to, are the tasks that are the responsibility of the Accreditation Coordinator:

Project coordination of the CPE program including maintenance of the work flow documents; meeting timelines for accreditation processes, including organization of materials and communication with constituents (commissioners, field reviewers, providers, etc.)

Creates and manages ShareFile collaboration sites for each CPE cycle which allows staff, commissioners and field reviewer’s access to review materials.

Assemble and e-mail complete CPE administrator packets for potential new providers. Provide appropriate CPE information for all ACPE reports (i.e., Board meeting agendas, Report of the Proceedings, Annual Report, ACPE newsletter, etc.).

Enters and maintains database information for the Provider Web Tool, including but not limited to contact information, history notes, program information, etc.

Assist the Assistant Director/Director with development, coordination and completion of CPE workshops and related materials.

Processes invoices in Quick Books for the CPE program application fees, annual accreditation fees, and any other CPE invoices as required, e-mailing, and filing of all accounting documents in the CPE files.

Self-driven, exhibiting initiative and drive while demonstrating the ability to work effectively and productively with minimal supervision.

Should be extremely team-oriented and have a positive attitude toward co-workers – exhibiting a desire to help other administrative staff when necessary.

Must possess good computing skills in MS Word, Excel and Outlook. Knowledge of QuickBooks accounting software is a strong plus. Candidates with experience in a Citrix ShareFile environment will be given preference.
