Job Description PRINCIPAL ACCOUNTABILITIES (SUMMARY)Reporting directly to the Training & Development Manager, the Administrative Assistant is responsible for providing administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.III.POSITION REQUIREMENTSEducation, Credentials, Licenses:Associates degree or related discipline or equivalent combination of experience and education.Kind & Length of Experience:At least 3 years in a fast paced environment as an Administrative Assistant.PERFORMANCE MEASURES AND STANDARDSPrepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software.Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees and boards of directors.Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.Prepares, communicates and administers all materials for New Hire Orientation.Perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.Retrieve, file and maintain documents, records, and reports.Open, sort, and distribute incoming correspondence, including faxes and email.Make travel arrangements for executives.Operate telephone switchboard to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments.Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations.Transmit information or documents to customers, using computer, e-mail, mail, or facsimile machine.Hear and resolve complaints from customers or the public.Perform administrative support tasks, such as proofreading, transcribing handwritten information, or operating calculators or computers to work with confidential records, invoices, balance sheets, or other documents.Maintain security system access including access badges, TWIC cards and parking passes.Collect, sort, distribute, or prepare mail and postage, messages, or courier deliveries.Process and prepare memos, correspondence, travel vouchers, or other documents.Process employment applications.Tracking various processes.Receive payment and record receipts for services.Manage various office projects such as quotes for new services etc.Prepare for various trade shows including but not limited to, registration, presentation booklet preparation, itinerary, booking hotels and flights for employees.Special projects, creating POs, manage POs invoicing and tracking of project your absence, you are to ensure that the tasks assigned to you are adequately covered by trained personnel. You are responsible to communicate and work with your manager to ensure your workload is covered when you are out.
