Job Description

Under the direction of the Director of Finance, the Operations Specialist is responsible for performing abroad range of basic administrative and business support tasks. The Operations Specialist will support the Executive Director, the leadership team, the PQI department, and other Programs and departments within Pendleton Place in some day-to-day functions, while also maintaining the confidential and professional nature of the agency’s services.

Essential Functions of Position

  • Admit, greet, and guide visitors, answer inquiries, and create a welcoming, inclusive, and affirming environment for volunteers, staff, and clients
  • Organize and maintain files and databases in a confidential manner through data-entry, and troubleshooting/PQI support
  • Manage communication for the organization by greeting callers, establishing reason for calling, and resolving issue by contacting appropriate persons/ programs,
  • Assist the Development Team with scheduling, receiving and distribution of donations and entering donation data
  • Be available to receive deliveries, sort/distribute incoming and outgoing mail, FedEx/UPS deliveries, and notifying the appropriate recipient.
  • Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
  • Offer assistance to staff accountant by completing bank deposits, receiving invoices, and reviewing for accuracy
  • Coordinate vehicle use with programs and maintain clear and up to date maintenance records for all vehicles.
  • Coordinate building/grounds maintenance needs with programs, perform walk-throughs, address safety concerns, and/or serve as the onsite point person for inspections and repairs
  • Develop a foundational knowledge of programs and departments within the organization to learn how to best support each program effectively
  • Maintain, update, and organize client/vendor contact information and proposals/bids
  • Assist program directors and other leadership in planning, organizing, and coordinating functions relating to the operation of the business
  • Assist ED with scheduling and setting meetings, and maintaining/filing paperwork
  • Ensure operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
  • Coordinate general maintenance and repairs on facility equipment and property structures

Minimum Qualifications

  • Associate’s or bachelor’s degree
  • 2-3 years of clerical, secretarial, or office experience
  • Strong problem-solving and analytical skills
  • Proficient computer skills, including Microsoft Office
  • Strong verbal and written communication skills
  • Comfortable with routinely shifting demands
  • High degree of attention to detail
  • Data entry experience
  • Working knowledge of general office equipment
  • Positive, affirming attitude
  • Client-focused, approachable, and friendly
  • Physical capability of standing or sitting for long hours each workday
  • Satisfactory criminal history checks and background checks including the Child Abuse and Neglect Central Registry and Sex Offenders Registry
