JOB SUMMARY: This individual is responsible to the Board of Directors of the professional corporation for the administration, direction, and coordination of all practice activities, except those directly involving professional medical judgment. EDUCATION AND EXPERIENCE: 1. A minimum of 10 years of health care experience, and a college degree. An MBA and/or CPA would be preferred. 2. A minimum of 5 years in a managerial role in a private practice setting (title might include: administrator, practice manager, director, etc.) 3. Working knowledge of standard accounting principles and budgetary experience. 4. Working knowledge of computers including Microsoft Office suite, EPM systems and EHR, optical software systems and inventory control software also helpful. Experience with a fully-integrated EHR and practice management software package would be extremely beneficial. 5. Experience in negotiating general business contracts. 6. Prefer experience in pediatric practice setting. KNOWLEDGES, Skills, and Abilities: 1. Quantitative and analytical skills. 2. Balance of strategic thinking with day-to-day operational management. 3. Ability to express himself/herself, in writing and orally, with clarity and tact. 4. Familiarity with taxation, professional corporations, and managed care contracting issues. 5. Knowledge of federal, state, and local laws/regulations impacting medical practices, including, but not limited to, human resources, FLSA, HIPAA, OSHA, and payers. 6. Advanced problem-solving skills including early identification of potential problems and working toward resolution in a timely and effective manner. 7. Ability to prepare financial analyses and annual budgets, monitor progress, and recommend action items to meet goals. 8. Advanced ability to handle sensitive situations and conduct difficult conversations tactfully and objectively 9. Empathy for children and their parents coupled with the ability to teach customer services skills for this customer base. 10. The ability to instill confidence in decision-making and recommendations through demonstrated integrating and consistent approach. ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES: (To perform this job successfully, an individual must be able to perform each essential job function satisfactorily. Develops a business plan for the practice in conjunction with the Owners. Makes recommendations for tactics and implementation timelines. b. Maintains an organization and communication system with the specific objectives of enhanced operating efficiency. c. Works with the management team and outside consulting firms to develop a marketing plan to achieve the practice goals set forth in the business plan. d. Works on recruitment and development of a medical staff consistent with the goals set forth in the business plan. e. Serves as primary liaison with business consultants (legal, accounting, management consultants) to the practice. 2. Financial Operations a. Works with the owners and outside accounting/consulting firms in preparation of an annual budget. The budget process is to be initiated at the outset of the fourth fiscal quarter, with completion in the month prior to the beginning of the next fiscal year. b. Develops a format for optimally useful weekly and monthly financial and management information reports. c. Reviews and analyzes monthly financial statements of the practice and related entities. Prepares an executive summary, along with the financial statement package, for presentation to the Owners. d. Ensures completion of the financial statement package within 30 days of the end of the previous month. e. Analyzes the cost/benefit and feasibility of special situations or opportunities for the practice. f. Works with outside accounting/consulting and legal firms regarding tax-planning issues affecting the practice. g. Provides direct or indirect approval of all practice expenditures. h. Works with outside accounting or consulting firm to develop appropriate internal controls. i. Institutes a cash management program to maximize return to the practice. j. Maintains an efficient purchasing system. k. Monitors the billing and collection process in order to facilitate a healthy turnover of accounts receivable. 3. Personnel Management a. Implements policies for the successful recruitment, hiring, training, and dismissal of all personnel. b. Oversees and monitors job descriptions, salary reviews, and personnel evaluations. c. Ensures proper maintenance of employee files and records. d. Develops, implements, and assesses human resources initiatives, policies, and practices. e. Develops appropriate management infrastructure to improve communication and efficiency. f. Organizes regular meetings of the management team and office personnel. g. Develops protocols for continuing education of staff.Ensures practice is in compliance with Federal, State and Local laws governing employment practices, including, but not limited to, ADA, EEO, FMLA, OFLA, FLSA, OSHA, ERISA, etc. 4. Corporate Overview a. Serves as spokesperson, when necessary, for the organization. b. Monitors practice benefits programs. c. Oversees all insurance coverage, including malpractice, office contents and liability, life, disability, and business overhead (for the physicians), as well as any other practice related policies. d. Works on developing an in depth knowledge of the area marketplace. This will include attendance at appropriate conferences. e. Oversees all computer systems including EHR and practice management software of the practice to ensure maximum utilization and increased practice efficiency. f. Conducts periodic reviews of management personnel who report to the position. g. Negotiates and develops relationships with managed care plans. h. Develops and maintains quality assurance guidelines so as to ensure compliance with third-party payers. i. Facilitates development of outcomes measurement and cost effectiveness guidelines, in order to enhance market position in the managed care environment. Motor, Sensory, and physicial requirements 1. Must be able to operate modern office equipment (computer, phone, EPM/EHR software systems, fax, copier). 2. Must be able to circulate throughout various offices to observe project implementation and provide leadership ‘visibility.” 3. Must be able to drive between business entities and to various meetings to represent the corporation. 4. Job requires both extended times sitting in meetings or reviewing information on a computer and regular up/down from chair and walking throughout offices.
