Job Description

The Sr. Administrative Coordinator will operate under the direction of the Chief Operating Officer (COO). The incumbent will provide executive-level administrative support, while maintaining the highest level of confidentiality and be an effective “gate keeper” for the Executive Office. The qualified candidate will possess the professional etiquette and temperament to effectively manage the work required in an executive office, including engaging with many political and government leaders including, but not limited to, the Mayor’s office and council members, as well as engage with community leaders in Park Heights.

RESPONSIBILITIES AND DUTIES:

·         Manages calendars/schedules for internal and external meetings, coordinates appointments for the COO, including schedules conference rooms, and orders meals for meetings.

·         Develops meeting and workshop materials for the COO.

·         Answers incoming calls and voice messages and arranges conference calls.

·         Receives and manages incoming and outgoing mail.

·         Manages and develops report templates, PowerPoint presentations, applications, and other tools to effectively support administrative functions.

·         Prepares statistical reports, memos, letters, and other correspondence/documents, using Microsoft Word, spreadsheets, database and/or presentation software.

·         Develops and maintains accurate and organized electronic filing systems.

·         Effectively monitors, manages, and responds to email correspondence. Forwarding information to appropriate individual or external partners.

·         Assists in maintaining key contact information, sensitive and confidential data, and documents, and develops and maintains tickler systems.

·         Independently develops systems to improve administrative efficiencies.

·         Greets visitors and determines appropriate intake protocols.

·         Supports/manages administrative staff.

·         Coordinate corporate events and public engagements of the COO.

·         Performs other duties as assigned to provide administrative support and assistance.

 QUALIFICATIONS:

 The successful candidate will have: 

·         An Associate’s degree in business or office administration, project management, public administration, or related coursework, Bachelor degree is preferred.

·         Minimum of three to five years of experience in the administrative support field, preferably working with non-profit executives or senior staff.

·         Five to seven years of experience working for an executive may be substituted for a degree.

·         Highly proficient in Microsoft 365 including Word, Excel, Teams, Outlook, and PowerPoint. Proficient with database management systems.

·         Demonstrated experience dealing with complex reporting, and the ability to exercise the highest level of confidentiality. 

·         Demonstrated excellent interpersonal, communication, organization, attention to detail and time management skills. Ability to communicate clearly and concisely, verbally and in writing, in English. Bilingual communication is a plus.

·         Proficient with scheduling assistant tools, video and audio-conferencing platforms, and related applications.
