Job Description

Pay Rate: 28phr

Monday to Friday 9am to 5pm onsite

 

Perm salary 50k to 55k  ( True temp to hire within a few months.)

 

Position:

 

Administrative Assistant: Reports to the Executive Assistant

 

Position Summary

 

The Administrative Assistant will provide administrative support to the President and Executive Assistant to the President, as well as to Program staff as needed. This position will also assist with day-to-day operations of the Foundation and will serve as the direct liaison to several third-party vendors.

 

Essential Duties and Responsibilities

 

·         Greet office visitors, answer and screen phone calls; direct caller to the appropriate personnel and forwards accurate messages to staff 

·         Assist interface with Trustees and their staff in regards to Trustees’ travel arrangements

·         Edit Foundation documents, such as meeting minutes and other Board of Trustees materials

·         Maintain Foundation’s inter-office calendar and attendance records

·         Purchase all office machines and supplies

·         Oversee office maintenance, including cleaning service, storage, and security

·         Ensure kitchen and office common areas are kept tidy

·         Stock office supplies and refreshments

·         Ensure copier supplies and maintenance are in order

·         Contact building manager regarding maintenance issues and other requests

·         Procure maintenance contracts for office machinery

·         Coordinate and sets up meetings and luncheons held at the Foundation, including Board Meetings and the distribution of meeting materials for Board members

·         Work with the President and other senior personnel on specific projects related to the administration of the Foundation

·         Check office mailbox and sort, address, and/or distribute mail as appropriate on a timely basis

·         Submit monthly expense report for the President and office

·         Keep track of memberships and subscriptions for renewal

·         Assist with onboarding of interns - initially track applicants, update SharePoint file for resume and cover letters weekly to submit to Executive Assistant for review as well as creating an orientation schedule and contacting WCA for IT necessities

·         Manage an extremely active calendar of appointments – making sure it is up to date for upcoming meetings and speaking engagements

·         Monitor the jobs e-mails, makes spreadsheets as appropriate when there a job opening

·         Keeping President on track for daily meetings

 

Desired Qualifications, Education, and Experience:

 

·         College degree preferred, minimum five years relevant office experience working as an Administrative Assistant

·         Previous experience in the non-profit sector and an interest in the Foundation's philanthropic objectives are highly desirable

Necessary Knowledge, Skills, and Abilities

 

·         Excellent organization and communication skills, including written, verbal, and diplomacy and discretion

·         Excellent computer skills including Microsoft Office applications

·         Capacity for growth and assuming greater responsibilities

·         High level of motivation and initiative, but willingness to work as part of a tea
