Job Description

PATRIOT delivers full-service facilities and infrastructure solutions providing complete end-to-end life-cycle services including planning, architecture, design engineering, construction, and operations and maintenance. The company is headquartered in Dunkirk, MD and is supported by its three regional offices to execute innovative facilities and infrastructure solutions throughout the world.

PATRIOT is looking for an entry level, part-time Receptionist/Certified Payroll Specialist to work out of our Dunkirk, Maryland office. The ideal candidate will possess both office administration and payroll skills. This person must have excellent communication, organizational, data-entry, and time management skills. He/she should have the ability to multitask in a busy environment and complete tasks in an efficient manner. The ideal candidate will have also have a background in payroll, accounting, and/or finance and will work closely with our accounting department.

Job Duties:


  • Serve visitors by greeting, welcoming, and directing them appropriately.
  • Maintain security and telecommunications systems.
  • Keep a safe and clean reception area by complying with procedures, rules, and regulations
  • Screen/answer phone calls and messages to the main line and direct them to the appropriate person.
  • Receive mail/packages and deliver them to the appropriate recipient(s).
  • Prepare outgoing mail to be picked up and send out mail/packages which sometimes involves trips to UPS and USPS.
  • Responsible for maintaining an accurate log of the company vehicles.
  • Purchase and restock office equipment and supplies; maintain inventory records as appropriate.
  • Print address labels and postage stamps for mail.
  • Monitor conference room reservations and utilization.
  • Assist with reconciling company credit card statements.
  • Arrange and coordinate company/office events and luncheons.
  • Scan, print, and organize office files as needed.
  • Track company purchases.
  • Assist with plotter printing for departments as needed.
  • Maintain membership accounts and coordinate the delivery of automated services provided to the office.
  • Perform clerical, administrative, and other duties as needed.
  • May be responsible for scheduling employee travel arrangements.

Certified Payroll Specialist

  • Review, verify, and file certified payrolls and supporting documentation from subcontractors.
  • Maintain, organize, and review payroll records, reports, and documents both physically and electronically through various cloud-based systems.
  • Coordinate with government and client representatives to ensure certified payrolls are accurate and filed on time.
  • Assists accounting department in preparing for an audit.
  • Assist accounting department with preparing invoices and payments.
  • Resolves any discrepancies surrounding certified payroll issues.
  • Assist the entire accounting team with daily tasks as needed. Tasks may include but are not limited to A/P and A/R processing, account reconciliations, general ledger posting, organization, filing and scanning or accounting documents.

  • Excellent organizational skills, time management skills, and pays strong attention to detail.
  • Excellent verbal and written communication skills.
  • Strong technology, computer, and phone skills.
  • Solid understanding of accounting fundamentals and payroll practices.
  • Strong data entry skills.
  • Experience working with payroll software is preferred.
  • Proficient with Microsoft Office Suite.
  • High school diploma or equivalent required.
  • Experience with RMS and/or Viewpoint is preferred.
  • Experience working in the construction industry or with federal contracts is preferred.
  • This position requires a minimum of 20 hours of work to be performed each week.

Physical Job Requirements:

  • This position requires the ability to remain in a stationary position seated more than half the time.
  • The person in this position may need to move about the office: walking up and down stairs etc.
  • The person in this position must be able to maneuver and lift items up to 40 lbs.
  • The person in this position must be able to retrieve files/supplies by bending, squatting, reaching etc.
