We are a small, family owned, and well-established 71-year-old manufacturing business located in Santa Fe Springs seeking an individual to manage the administrative aspects of our office, including accounting and bookkeeping duties. This position requires a candidate who is responsible, good at multitasking, and has an attention to detail which is adequate to manage financial operations including A/R & A/P, payroll, monthly banking and report preparation, interfacing with our CPA, managing tax preparations, and engaging with day-to-day facility operations. We are an AS9100 Quality Management System certified company, so this position will require the candidate to participate in the QMS and also to lead and keep accurate records of quarterly management meetings.
This is a full-time position.
Hours: M-F, 7:30am – 4:00pm.
MAIN DUTIES INCLUDE:
Answering Phone Calls, Greeting Visitors, Distributing Mail
Entering Sales Orders, Preparing Shipping Documentation
Preparing Shipping Labels through FedEx, UPS, DHL, etc. Including International Packages
General Office Duties
Compose Letters, e-mail, Faxes.
Accounts Payable, Accounts Receivable, Collections
Petty Cash Maintenance
Prepare Bank Deposits
Payroll through ADP RUN and Temporary Staffing Agencies
Preparing and Maintaining Company Financials with Quick Books
Preparing Monthly Reconciling of Bank Ledger Accounts
Prepare Monthly Reports for CPA and Other Parties
Maintain State and Federal Payroll Tax Filings along with City Business Tax Filings
Create and Maintain Company Policy Documents
Maintain Employee Personnel Folders, I-9
Track Vacation, & PTO, etc.
Maintain State and Federal HR Postings.
Participate in Quality Control Procedures and AS9100 Directed Quality Management System
Help with any special projects or other work as needed as Directed by Principal

High School Diploma Minimum. Some College preferred.

4 + Years’ Experience with Quick Books Pro & Microsoft Office Suite.
4 + Years’ Experience in an Office Management and/or Bookkeeping Capacity.
Candidate Must be Pleasant and Friendly & Work Well with a Diverse Employee and Customer Base.
Detail Oriented, Responsible, Efficient, and Trustworthy.
Compensation: $23.00 - $25.00 hr, based on experience. Benefit package following probationary period.
