Office Assistant- (Front Desk Receptionist)

Summary: The Office Assistant will be responsible for providing administrative support as determined by the Plant General Manager, while coordinating activities of the front desk, such as answering and directing calls, mail distribution, flow of correspondence, requisition of supplies, and other clerical duties. Essential Duties and Responsibilities: Reception Duties * Welcome and serve as the initial point of contact for customers and Plant visitors. * Answer incoming telephone calls in a cheerful, courteous, and timely manner and promptly route each call to the proper individual for the information and inquiries. * Manage, organize, and distribute incoming and outgoing mail. * Obtain and scan non-disclosure forms from Plant visitors. * Meet and greet Plant visitors, applicants and vendors. * Order, receive, stock and distribute office supplies. * Assist with other related clerical duties such as photocopying, faxing, and filing. * Other duties as assigned. Production Shift Reporting * Review daily production shift reports for accuracy; enter labor transactions and finished good production into Visual for each work order completed including: * Entering inventory transactions and running reports * Entering labor tickets * Running costing reports * Releasing work orders * Generate reports from various software programs in order to share essential information with office and plant employees. * Maintain clear communication with shift supervisors and warehouse personnel when needed. * Assist other department members and/or managers with special projects as needed. * Other duties as assigned. Accounts Payable * Ensure receivers are matched with appropriate PO s and Invoices. * Maintain office supplies/paper. Order and organize as required. * Reconciliation of Company Credit Card Statements. * Maintain clear communication with purchasing, corporate accounting and other customers. * Scan invoices, purchase orders, receivers into computerized digital imaging system. * Assist other department members with special projects as needed.

Executive Support duties: * Making travel arrangements for Plant Management as needed. * Assist in coordinating office events, lunches, and meetings. * Reviews, requests, schedules appointments and meetings and resolves problems requiring in-depth knowledge of company policies and procedures, and projects in progress. * Other duties as assigned. Supervisory Responsibilities: no yes Qualifications: General: * Minimum 2-3 years experience in office/administrative duties * Excellent time management, organization and communication skills. * Ability to prioritize, coordinate, multi-task and demonstrate initiative. Education and/or Experience: * High school diploma or equivalent required * 1 year of office experience Language Skills: * Must be capable of speaking, reading and writing English with excellent written and verbal skills. Mathematical Skills: * Must be capable of performing addition, subtraction, multiplication and division calculations. Reasoning Ability: * Ability to solve problems and deal with a variety of concrete variables in situations where standardization generally exists. * Ability to interpret a variety of instructions furnished in written or oral format. Computer Skills: * Strong computer skills required; Proficient working knowledge of Microsoft Excel, Word, PowerPoint, and Outlook. Ability to use and navigate web-based travel sites.
