Optimum Fire & Security is a full-service life safety integrator headquartered in Wilmington, NC. We design, install, repair, inspect, and service fire alarms, security, camera, access control, BDA, and low voltage systems throughout North and South Carolina.
New Construction Project Coordinator
Duties/Responsibilities:The project coordinator will report directly to the Operations/New Construction Director and will be accountable for the profitable execution of local projects and sub-contractor services rendered for projects outside of our local realm.
Prioritize and Schedule manpower accordingly
- Serve as the primary administrative point of contact for local installations
Work directly with the project leads to properly schedule manpowerEnsure a clear line of communication exists between operations management and the field
Provide consistent customer communication through all phases of the project
Directly manage and execute the pre-mobilization phases of projects
Participate in handoff meetings between the sales manager and operations director
Verify all vendor quotes have been vetted before execution
Release materials when appropriate payment has been secured
Influence the execution of PO’s according to the JOB schedule, material availability, and storage space
Work closely with the warehouse manager and admin assistant to track materials
Schedule the installation only when all required materials and equipment are in hand or promised
Manage installation schedules
Communicate with the project leads through all phases of the project
Understand the site completion schedules
Understand our completion timelines
Collect weekly reports from the administrative assistant after they are recorded
Communicate with the installation teams weekly
Provide counsel and influence to the installation teams where required
Customer Management
Verify the projects and customers are assigned appropriately
Work with the customer to ensure our billing contacts and invoicing methods comply with the project guidelines
Verify the customer understands the services they may be responsible for per our contract like 120 volts power, accessibility, lighting, lifts, etc
Maintain clear communication with the customer
Contact the customer at regular intervals
Ensure the customer understands our install dates
Make the customer aware of any equipment delay
Project close-out and review
- Review project close out documentation
Review the project hours and expense
Determine the profitability of the project
Debrief with the installation team that performed the majority of the project and retrieve any “lessons learned”
Communicate with the General Contractor to ensure there will not be issues obtaining our final payments in a timely manner
Required Skills/Abilities:
Able to prioritize and execute
Must have the ability to communicate clearly with other Project and Construction Managers
Maintains order and calm through intense situations
Facilitation skills
Knowledgeable with Construction Environments
Expert level with Blueprints and Schematics
Comfortable with uncomfortable situations
Has some experience with Fire Alarms, Access Control, CCTV, Nurse Call, Camera, and/or Security systems
Education and Experience:
High school diploma or equivalent required.
Degrees and Professional certifications are a plus
NICET certifications will be reflected in pay
Experience and Past Performance are the primary factors for employment and will reflect in pay
5 years of related experience preferred
