Administrative Assistant

This Administrative Assistant position is responsible for providing administrative and clerical support for the HOT Operations organization to ensure the efficient, timely and accurate processing of records and reports as well as other administrative functions and activities that are needed within the organization.

Key Roles & Responsibilities

Directly or through others, the incumbent:
Perform all essential functions and aspects of the job including any other specific job requirements
Adhere to all Company policies, rules, regulations, guidelines and safe work practices and procedures
Provide clerical and administrative support for the organization using Oncor and other programs including Microsoft Office programs such as Outlook, Excel, Word and Power Point
Perform time admin job functions and work activities in inputting and or correcting employee time entries
Processes invoices, payments, expense reports, purchase card transactions and time corrections for personnel within the organization
Complete monthly vehicle mileage reporting, processes mail and perform the printing and distribution of updates for company manuals, guidelines and handbooks and maintain departmental files and records
Develop communications for management and employees in a variety of mediums to effectively communicate reports or messages
Prepare informational reports and work on special projects utilizing various computer applications
Maintain calendar(s); coordinates travel arrangements and organize meetings including the scheduling of conference rooms, meals and equipment
Schedule maintenance activities for facilities and vehicles
Order, and stock office supplies and track tool and equipment purchases
Coordinate activities associated with vendors that provide services to Oncor
Utilize the Service Area Light Tool for service corrections when required
Manage and process damage claims
Support and participate in the organizations safety and diversity programs as well as other initiatives
Assign and complete OMS events and work orders and update Resource Tracker Tool when required during restoration activities using iDispatcher, DMS Reports, Mobile TC and INET programs
Work overtime as required to meet organizational workloads or system restoration activities
Provide back up support for other administrative personnel within the organization and assist other groups when required
