To handle all administrative duties as required by Sales and Business Travel Managers
+ Create proposals and contracts for managers and audit contract turnover
+ Maintain weekly telephone and outside solicitation, travel agency presentation
+ Set up amenities for all VIP clients
+ Arranges appointment for managers
+ Schedules work load to meet deadlines of all managers
+ Types and distribute all correspondence, including booking notices, letters, contracts, etc. for assigned managers. Ensures that all correspondence is 100% accurate.
+ Coordinate general office functions
+ Monitor and maintain cleanliness, sanitation and organization of assigned work areas
+ Communicate all group specifications to appropriate operational departments ensuring specifications are implemented and executed
+ Coordinate service repairs for office equipment, ensuring minimal costs.
+ Maintain complete knowledge of and comply with all departmental policies/service procedures/standards.
+ Build business travel reservations
+ Review business travel arrivals by ensuring charges are being routed to the instructed direct bill accounts
+ Process gift certificates when applicable with a Director's signature/approval
+ Prepare for monthly Omni Service Tradition meeting with sales department and communicate with catering department for appropriate food & beverage
+ Previous sales experience preferred
+ College degree preferred, but not required
+ Experience working with Microsoft Office
+ Delphi experience preferred
+ Ability to type at minimum 30 WPM
+ Ability to work a flexible schedule
+ Ability to work holidays, and some weekends
