Church Office Administrator

The Office Administrator (OA) of Oakridge United Church (OUC) looks after the front desk, and ensures that people can connect with information and programming in the church.
Reporting to the Lead Minister, the Office Administrator manages all internal and external communications via social media platforms, website, weekly church emails, newsletters.
The Administrator helps to ensure that the everyday work of the church office runs smoothly, by providing a high level of teamwork, initiative, & confidentiality.
The Administrator organizes the church calendar, looks after church office administration, organizes church rentals, events, and programming bookings.
Responsibilities
Communications:
- Create, design, & implement church internal & external communications: Social media content, website updates, newsletters, weekly info emails.
- Create print and digital material related to program and ministry initiatives.
- Provides administrative support to the church with the goal of connecting people with God, with one another, and with the community at large
Office Administration:
- Greets visitors during office hours and often acts as a liaison between the Minister and everyone else.
- Document preparation, data input, spreadsheets, and operation of photocopier, scanner, office equipment.
- Maintains and updates church files, databases, church correspondence.
- Maintenance and organization of reception area
- Accepts payment for church use from user groups or individuals and writing receipts for same. Accepts donations and provides receipts.
- Maintains and organizes front desk reception area. Pick up, distribution and dissemination of all mail and correspondence.
- Coordinates scheduling for weddings, baptisms, funerals, and other events
- Coordinates scheduling for Sunday Serve Teams & volunteer lists.
- Coordinates, produces, and distributes church Annual Report.
- Maintains files of volunteers’ Criminal Record Check and Vulnerable Sector Searches.
- Coordinates the filing of Statistical Forms to the General Council of the United Church of Canada.
- Organizes church calendar and all scheduling of facility
- Identifies potential new renters and follows through with outreach and promotion

Knowledge & experience
• A minimum of 5-7 years experience in communications, administration, operations, office management, or a combination of experience and equivalent education
- Experience in strategic communications and digital marketing, an asset
- A track record of effecting organizational improvement, including implementing new processes
- Strong computing skills using systems such as: Canva; Adobe, HootSuite, Eventbrite, G-Suite applications; comfortable learning new church-specific software
- Strong social media experience and competencies including but not limited to: Instagram, Facebook, Twitter
- Experience in website design and upkeep, an asset
- Experience in public relations and marketing as related to the promotion of facilities and programming, an asset
- Experience in the non-profit sector, an asset
- Second or third language, an asset
Working Hours and Entitlements
The Office Administrator position is a permanent part-time position designated at 20-24 hours per week. The normal working hours will be between:
- Tuesday-Friday 9:30 – 3:30pm
- After the first year, this position is eligible for vacation according to the established schedule below, to be taken at a mutually agreeable time.
Annual vacation entitlement:
2 weeks after the 1st year of employment
3 weeks after the 3rd year of employment
4 weeks after the 6th year of employment
Benefits: United Church of Canada Pension & Benefits
Salary: Starting salary of between *$28.00 - $32.00 / hour commensurate with experience. Salary increases are subject to periodic reviews.
Criminal Record Check: A Criminal Record Check including Vulnerable Sector Search, is required before commencement of employment.
