Job Description

OE ENTERPRISES JOB DESCRIPTION

POSITION: Office Coordinator (Burlington, NC)-FT

SUPERVISED BY:

MINIMUM QUALIFICATIONS: AA required; BA a +; experience with I/DD population a +; Supervisory a +; Ability to problem-solve, multi-task and communicate effectively in a fast-paced environment; Working knowledge of MS Works, Excel and EHR systems; Ability to pass drug screen, background check

& present a sustained, good driving record.

Maintains office by organizing operations and procedures, managing

correspondence, designing spreadsheets and filing systems, completing supply requisitions,

and various other office tasks and duties.
DUTIES & RESPONSIBILITIES

  • Answering telephone calls and emails from customers and clients and directing them to relevant staff
  • Monitoring and keeping inventory of office equipment and office supplies and ordering n as required
  • Training new employees and organizing their employment paperwork
  • Organizing records; spreadsheets, tracking; HR; safety; accreditation; etc. repair and maintenance, including office equipment, etc., custodial to keep the office clean and safe and ensure in good working order
  • Working with senior management to improve office operations and procedures.
  • Data entry
  • Website, events, annual reports, newsletter support
  • Address immediate needs as they arise
  • Maintain a positive and collaborative work environment within OE.
  • Assist in maintaining compliance and drafting reports with all standards including State, Federal and CARF
  • Producing reports, composing correspondence, and drafting new contracts.
  • Creating presentations and other management-level reports.
  • Performs or facilitates maintenance of office equipment including cleaning, maintenance, and repairs.
  • Checks mailbox daily and distributes and mails out mail including overnight mail when necessary.
  • Provides clerical support when needed to assist staff with assigned administrative duties such as sorting and distributing mail, preparing documents, etc.
  • Oversees petty cash fund.
  • Maintains office files; implements an efficient system for other staff to access files and records.
  • Other duties as assigned.

Skills:

Strong written and verbal communication skills to produce reports, assign tasks, accept instructions and handle contracts; etc.
