NOTE: This is a contract position with expected duration of approximately 3-6 months of full-time work (40 hours/week). Work will initially be performed remotely with requirement to work in our Corvallis, OR office once COVID-19 restrictions have been lifted.There is potential for this contract position to be converted into an FTE position at the end of the assignment, pending organizational needs at the time.POSITION SUMMARY: The document management specialist primary focus is document control, records management, and information management. The DMS responsibilities include updating databases, management of electronic files that include but are not limited to engineering drawings, project and engineering reports, specifications, proposals, etc.
Ensure that documents and records meet the Quality Assurance Program Description requirements. Oversee revision control of documents and records. Identify, classify, and store records.
Develop classification schemas and support electronic records management. ESSENTIAL DUTIES AND RESPONSIBILITIES: + Perform basic DCRM activities following procedures and documented instructions.+ Imports electronic documents into document management system, updating the document / record master database.+ Finalizes records in the electronic records management system ensuring records are appropriately classified and categorized. Dispositions records at the end of the records lifecycle.
Updates the document / record master database.+ Provide document identification numbers for documents when requested.+ Adheres to company and quality requirements.+ Promotes departmental improvement and development.+ Receives general instructions on routine Works with a moderate degree of supervision.+ Performs other duties as assigned.CORE COMPETENCIES: To perform the job successfully, the individual should demonstrate competencies in performing the essential functions of this position by performing satisfactorily in each of these competencies. + Problem solving: Works within standard operating procedures and documented instructions.+ Oral/written communication: Listens carefully and speaks clearly and professionally in all situations. A solid knowledge of Microsoft Office Suite software Proficiency with databases and electronic document/records systems is required. + Industry Requirements: Eligible to work under Department of Energy 10 CFR Part 810.+ Quality Assurance: Demonstrated understanding and implementation of quality assurance regulations, standards and guidelines of 10 CFR 50 Appendix B, 10 CFR 21, and NQA-1 preferred.PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
