Job Description

This staff member is responsible for daily functions and quality services provided by the Registrar's Office. The Academic Records and Veteran Services Specialist will provide front line services typically handled by the Registrar's Office. The Academic Records and Veteran Services Specialist will act as a contact for our students receiving Veteran Benefits. Requires familiarity with Veteran benefits, policies and procedures as well as academic policies and procedures and general knowledge about the working of the university. The work is performed in an environment committed to service to students, faculty, and staff. Daily tasks will include meeting with students, scanning, data entry, email, phone, and the use of computerized systems.


Essential functions include but are not limited to:

  1. Assist in creating an atmosphere of exceptional quality service for all students, faculty, staff, and general public.
  2. Responsible for daily functions to include, but not limited to: answering phones, responding to all office emails and fax requests, providing general information, posting and receiving mail, and assisting with walk-in traffic
  3. Perform registration, drop/add, tracking documents and information, verifying receipt of information and providing status updates to students. Enters and updates information in the student database to include registration, demographics, addresses, billing indicators.
  4. Advise students of regulations regarding use of veterans' benefits, requirements, and NDMU policies and procedures.
  5. Plan, organize, implement, and supervise all processes and aspects of student veterans' education claim processing, ensuring accurate claims and payment resolution.
  6. Ensure prompt and accurate reporting to VA for graduation, probation, and termination of all using VA benefits.
  7. Report changes in student's eligibility to the VA in a timely manner.
  8. Research veteran-students Last Dates of Attendance on college system or by contacting faculty.
  9. Ensure all documentation including grade reports, adjustments, certification, probation, termination, and graduation are accurately and timely reported to the Department of Veterans Affairs in accordance with federal guidelines.
  10. Update SCO knowledge by attending local training, and workshops to stay current on VA regulations.
  11. Performs such similar, comparable or related duties as may be assigned or required.


Qualifications:

  • Knowledge: High school diploma or equivalency certificate required. Some college level course work preferred. Previous office work or work in a college setting.
  • Experience: Two years of experience working in customer-service oriented office. Preference given to those who have experience working in a college or school setting. Experience in a fast paced environment. Experience working with computers and database system. DATATEL/Ellucian experience preferred.
  • Skills/Aptitude: Must be extremely accurate and detail oriented. Ability to work within a team setting, and a fast paced environment. Present a cheerful and can-do attitude. Good writing and speaking skills required. Committed to quality service. Disposition to learn database software and participate in ongoing training programs.
  • Working Conditions: Normal office environment. Adjusted hours may be required during peak periods and may include occasional weekends and evenings.
