Northrop Grumman's Enterprise Services organization is seeking an Administrative Assistant to support to the IT Solutions (ITS) Director of Service Development & NextGen Operations and the ITS Director of Applications.
This position will be located in Falls Church, VA.
The Administrative Assistant communicates with enterprise-wide partners, executives, administrative and line management employees. This position requires the individual to perform advanced administrative duties with exposure to sensitive information necessitating tact, diplomacy, discretion and judgment.
Daily functions include:
- Making travel arrangements and filing expense reports.
- Managing calendars.
- Scheduling meetings.
- Coordinating customer interface.
- Providing briefing/presentation support.
Additional responsibilities include:
- Generating presentations.
- Basic research.
- Organizing and maintaining files.
- Filing expense reports in a timely manner.
- Arranging meetings.
- Developing and maintaining organization charts.
- Serving as a focal point for communication and distribution of information amongst the Service Development and Next Gen staff.
The selected candidate will be an integral part of the team and must be self-motivated, and have the ability to collaborate well in a team environment. The position will require the incumbent to have excellent verbal and written communication and organizational skills.
The successful candidate will have experience producing comfortably with deadlines and milestones, and have a track record of working in a fast-paced, multi-faceted environment with a high daily workload and be able to maintain confidentiality. This position may require occasional non-standard work hours in support of business schedules.
High School diploma or equivalent, and 6 years additional education and/or related experience; or a Bachelor's degree with two years' experience in the administrative professional field.
Previous experience supporting a Director or other senior level leaders.
Computer skills required include advanced expertise in Microsoft Office software (Word, PowerPoint, Outlook and Excel) and intranet/internet proficiency.
Must have the ability to compile and generate reports and presentations.
Individual must have proven experience completing wide varieties of tasks with minimal supervision.
Ability to efficiently coordinate Outlook calendar.
Experience with Concur (or similar) travel and expense reporting system.
Proven experience handling/maintaining confidential materials.
Prior experience coordinating both on- and off-site meetings and/or events.
Experience proofreading and correcting documents for grammatical errors.
Must have experience in supporting a variety of executive levels, management level and administrative support within an organization.
Familiarity with Northrop Grumman Enterprise Services policy and procedures.
Experience performing multiple, complex duties, while being extremely customer oriented.
