Accounting Clerk/ Sanitary Sewer Account Management

Status: Non-exempt, paid hourly

Hours: Monday – Friday 8:30 am – 4:30 pm

Reports To: Township Administrator

Location: Northfield Township Government Office, 2550 Waukegan Road, Suite 100, Glenview, IL 60025

Summary:

The accounting clerk performs various clerical and routine accounting tasks, including posting entries, verifying and reconciling input to the Township’s accounting firm, processing payments, and/or assisting in preparation of billings and other financial reports. Responds to inquiries and contacts vendors to resolve a variety of problems. Performs general office administrative duties in a team environment focusing on providing exceptional service to all Township residents.

Essential Duties & Responsibilities:

Finance & Bookkeeping Duties:

  • Manage bank deposits for all township accounts

  • Monthly credit card reconciliations

  • Provide budgetary support

  • Assist with preparing monthly financial statements

  • Record, distribute and reconcile Food Pantry gift cards, both purchased and donated

  • Process and mail for payment all invoices for various Township accounts

  • Process matching grants for Food Pantry

  • Replenish and reconcile Township petty cash

  • Document and reconcile monthly tax distributions per tax levies

  • Check preparation and bank exception report and approval of Positive Pay transactions

  • Process stock donations

  • Assist accounting firm in audit preparation

Sanitary Sewer Accounting Duties:

  • Oversee the billing and mailing of the Township’s 2000 privatized customers on an annual, semi-annual and/or quarterly basis

  • Process and reconcile all sanitary sewer payments

  • Maintain Munibilling database

  • Manage and document liens

  • Oversee collection of sewer accounts that are in arrears

Administrative Duties

  • Provide telephone, email and in-person support for all Township services and referrals to other agencies as needed

  • Provide Illinois Notary services

  • Possess general office skills, ability to establish and meet office production goals and effectively utilize time with minimal oversight

Education and/or Experience

  • Bachelor’s degree in accounting, finance or bookkeeping AND

  • Three to five years’ experience

Computer Skills

Proficiency in Microsoft Office, Google Workspace, data entry and experience with financial accounting software.

WORKING CONDITIONS

Physical Requirements

  • Must be able to remain in a stationary position for a large percentage of the day

  • Occasionally move about inside the office and food pantry to access file cabinets and office equipment

  • Operate a computer and other office equipment, such as copy machine, postage machine and computer printer

  • Occasionally move 30-pound containers around various parts of the office or food pantry
