Job Description

We are seeking an Administrative Assistant / Client Service Associate to join our team! You will be supporting our individual & group health business and overseeing the administrative duties of a health benefits practice. This position will enable phenomenal opportunity for the right candidate to develop a career path to grow with our company and oversee a health insurance practice. You will be working with advisors and clients on a daily basis.

Responsibilities:

  • Greet incoming guests and clients
  • Facilitate meeting reservations
  • Prepare client case notes
  • Coordinate detailed filing systems and maintain client records and data base
  • Manage day-to-day calendar
  • Schedule Meetings
  • Monitor daily email
  • General copying and filing
  • Run errands as delegated
  • Assist with materials preparation, reports, forms, etc.
  • Facilitate and monitor correspondence
  • Coordinate travel
  • Manage customer service for Advisor’s clients
  • Coordinate holiday gifts and cards
  • Completing securities and insurance applications, forms, and paperwork
  • Tracking and monitoring new business and account/policy service
  • Many miscellaneous tasks

Qualifications:

  • Previous experience in customer service, sales, or other related fields is a plus
  • Ability to build rapport with clients
  • Ability to prioritize and multitask
  • Positive and professional demeanor
  • Excellent written and verbal communication skills
  • Compliance with all operating policies and procedures
  • Understanding and commitment to a Business Professional workplace environment
  • Self motivation and flexibility
  • Strong interpersonal skills, commitment to a collegial work style and mutual accountability
  • Ability to manage time to accommodate priorities of fast-paced Advisor
  • Either a Two or Four year degree
  • Excellent communication skills, strong written and verbal
  • Superior attention to detail
  • Positive attitude
  • Previous experience with Microsoft Office Suite to specifically include Outlook, Excel, Power Point
  • Previous use with Salesforce CRM is helpful
  • Must be a critical thinker and problem solver
