We have a new opening for an Office Administrator with a strong background in Construction.


The following description of work to be performed by this individual is not intended to be all-inclusive. Rather, it focuses on the major tasks that must be accomplished. There are many necessary activities to satisfy any of the following performance guidelines.

  • Contract Administration, working with estimating and project management in creating and issuing contracts and purchase orders for the project.
  • Help to ensure that project contracts, bids, and government applications are completed and filed on time
  • Assist the project management team with document control needs and change orders
  • Participate in meetings, taking and publishing minutes
  • Organize and prepare documents and reports for the project management team
  • Manage risk by proactively gathering and tracking insurance and licensing requirements for sub-contractors and vendors
  • Interact with vendors, clients, and staff in a professional, courteous, and appropriate manner
  • Familiar with State Construction Registry requirements and lien procedures
  • Collect, review, and verify lien releases for all vendors
  • Process projects close out documents (O&M manuals, Warranties, etc.)
  • AR/AP for subcontractors - track, manage, and process purchase orders and invoices
  • Provide various administrative support to the entire project team
  • Assist with special events planning
  • Greet clients and visitors as needed
  • Help organize and maintain office common areas
  • Organize travel by booking accommodation and reservations as necessary
  • Maintain office equipment


  • High school diploma or equivalent
  • Proficiency in Outlook, Word, Power Point, and Excel
  • Clear written and verbal communications
  • Able to organize and write procedures in a logical/methodical manner
  • Good time management and multitasking skills
  • AP/AR experience preferred
  • Experience in the construction industry (preferred)
  • Experience with Construction management software (Preferred) (Procore, Buildertrend, BlueBeam
  • Ability to work in a team and independently
  • Adaptable to change
