Position Overview: The Absence Management Administrator will oversee and administer leave requests and accommodations requiring specialized attention, particularly those arising under the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), the California Family Rights Act (CFRA), state and local leave laws, and absences in accordance with the Company Punctuality and Attendance Policy on a company wide basis.
Essential Duties and Responsibilities:
- Follow all safety procedures and work as safe as possible at all times.
- Accountable for the leave of absence process and administration company wide.
- Communicate with employees regarding their needs for leave and/or modified work duties.
- Handles the LOA process from the employees’ initial notice of the need for leave to the return to work. This includes gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use.
- Maintains reasonable communication with employees on leave to facilitate smooth and timely return to work, relays communication between employees and their managers during leave within reason.
- Advises managers and employees on the interaction of leave laws with paid time off, workers compensation, and short-term and long-term disability benefits.
- Maintains complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and documentation of best practices.
- Preserves confidentiality of employee medical documentation and files.
- File leave of absence and medical documentation / paperwork in appropriate files.
- Responsible for all attendance tracking.
- Responsible for monitoring and coding all Absences in timekeeping system, including the preparation of disciplinary action notices for excessive violations of the Company Punctuality and Attendance Policy.
- Communicates with managers regarding employee absences.
- Provide front desk coverage.

Competencies:
- Must have strong knowledge in Leaves of Absence processes, ADA, FMLA, and CFRA.
- Must have the ability to learn the Company Punctuality and Attendance policy and administer attendance accordingly.
- Must be organized, accurate, detail oriented and able to monitor work for quality.
- Ability to meet deadlines.
- Ability to multitask and work with changing priorities.
- Possess excellent written and verbal communication skills.
- Must use good judgment and maintain a high level of confidentiality.
- Must be proficient in Microsoft Excel and Word.
- Must be a quick learner and self-starter, able to perform tasks with minimal supervision.
Education and/or Experience:
- Bachelor’s degree, preferred.
- High School Diploma, or G.E.D., required.
- Minimum of 5 years’ experience in Human Resources with leave administration responsibilities.
- Or equivalent combination of education and experience.
- Experience in recording information and running reports in HRIS, and timekeeping systems.
Language Skills: English required, Spanish a plus.
