Job Description

Nom Wah is New York City’s oldest dim sum restaurant serving customers in Chinatown since 1920. In 2015 the brand expanded into its first outpost in Philadelphia and in 2016 a second fast casual space in the Nolita neighborhood. In 2019, Nom Wah became an opening vendor at the Market Line hall with other neighborhood institutions like Veselka, Pho Grand, and the Pickle Guys. Nom Wah embraces tradition and innovation to stay classic and fresh.

 

We are currently looking for an Administrative Coordinator to join our team. This position participates in making sure that the main office is optimized for productivity, handling inbound sales requests, and ensuring that Accounts Payables/Receivables are up-to-date.

 

Organizational effectiveness

  • Plan and execute high priority meetings, including weekly senior leadership meetings, all-hands meetings, and off-sites
  • Take notes throughout meetings with commitments and follow-up items
  • Track and communicate progress of high-priority initiatives; identify and raise obstacles for discussion
  • Ensure offices are optimized for productivity (i.e. office supplies are aptly stocked; functional equipment; appropriate office set-up; and printed collateral always on-hand, proactive in office upkeep and participates in cleanings)
  • Provide administrative support to Sr. Management as needed

 

Operations and sales

  • Provide customer service support for email inquiries for all US storefronts
  • Handle inbound inquiries for frozen dumpling delivery from beginning to end: share menu and take orders; process invoices and payment; organize delivery schedule for drivers; ensure order accuracy; and field additional questions as needed
  • Fulfill wholesale orders from brick-and-mortar partners and retail orders from online partners, including packing DTC orders
  • Manage inbound catering requests from start to finish: take orders; process invoices and payment; set up BEO and organize delivery schedule for kitchen staff; ensure order accuracy and satisfaction with delivery; and field additional questions as needed, send routine follow ups, schedule via Asana and calendar invites, adhere to company policies on client deadlines and payments.
  • Generate invoicing for accounts receivable as needed; monthly audit of invoices and proactive attempts to rectify account balance discrepancies, follows all necessary steps in the company invoicing process
  • Collect and organize all accounts payable and accounts receivable invoices for applicable business units, delivering monthly to Operations Manager
  • Complete routine accounting activities accurately and in a detailed/timely manner (e.g. entering costs in spreadsheets, creating new costs spreadsheets,)
  • Assists Kitchen Managers with general office tasks (e.g. printing forms, specials signage)
  • Willing to and comfortable with adapting to new procedures over time

Skills

  • Proficient with the following:
  • Microsoft Office (Word and Excel)
  • Google Sheets and Docs
  • QuickBooks
  • Preferable if candidate has prior experience with project management software (e.g. Asana)

Pay Range

$45,000.00/yr - $55,000.00/yr
