Job Title: Executive Assistant to the Managing Partner

Location: New York Life - Minnesota General Office 3600 Minnesota Dr. Suite 100 Edina, MN 55435

Hours: Generally, 8am-5pm M-F but may require tasks/duties be completed early morning/nights/weekends periodically

Setting: Professional Financial Services/Life Insurance Office

Compensation: Starting salary $45,000-$50,000 DOE with raises based on improved proficiency

 

Overview:

We are a local office of Fortune 100 New York Life insurance company. Our territory covers all of Minnesota and western Wisconsin. We currently have 70 agents/advisors and 4 managers. Our goal over the next 3 years is to grow to 200 agents and 15 managers. You will work for and be employed directly by the Managing Partner.

The role of executive assistant is designed to anticipate, facilitate, and execute the day to day operations surrounding the Managing Partner (MP) that support the mission of growing the General Office. The MP is responsible for crafting the vision and coordinating strategies. In addition, the MP maintains primary responsibility of leadership development. There are many well intentioned tangents and necessary distractions that take away from these primary roles, which necessitates the position of the Executive Assistant.

This is a pivotal role that will be accomplished by someone who is experienced and proactive in this capacity. This person should be passionate and gifted in supporting, administering, encouraging, and innovating. They must enjoy interfacing with people and possess great people skills. They must be very organized, meticulous, and be able to operate with little supervision. They must be able to ask clarifying questions until they have a grasp on the vision, and then execute from there. They must be able to manage outside vendors, negotiate contracts, and ensure expectations are met. This specific position is not meant to be static but designed to evolve to meet the needs of the MP, the General Office, and Agents within it. The MP will rely on feedback and communication to be initiated from the Executive Assistant to keep the position as effective as possible.

*The MP is married to a business owner and they have 2 young children. He also is a published author. They operate a very organized, but full schedule and the Executive Assistant may be called on to coordinate/manage/perform duties related to their outside businesses and personal life periodically.

Their specific roles will include, but not be limited to:

  • Updating Excel, PowerPoint and Word documents i.e.
  • Prepare reports for staff meetings
  • Update discretionary spreadsheet
  • Manage incoming and outgoing communications i.e.
  • Manage MP’s email
  • Manage MP’s calendar
  • Send out proactive emails
  • Answer/filter my telephone/manage voicemail
  • Update lobby signage
  • Send appointment reminders
  • Manage Social Media (ie Facebook, LinkedIn, etc.)
  • Schedule networking events
  • Confirm appointments
  • Mail thank you notes
  • Mail anniversary and birthday cards
  • Coordinate video recordings for podcasts/YouTube
  • Manage video editing

Various administrative tasks:

  • Book travel arrangements
  • Interface and set reservations for MP
  • Must develop relationships as an extension of the Managing Partner
  • Collect discretionary account receipts
  • Order food for events
  • Miscellaneous errands for the MP
  • Coordinate quarterly planning sessions

Marketing & Event Planning

  • Manage headshots
  • Coordinate semi-annual Office Kickoff Business meetings and celebration events (January and July)
  • Coordinate monthly social event with office
  • Coordinate monthly Diamond Dinner
  • Press releases (Newly appointed Agent ,Rookie of the Month etc.)
