The Administrative Assistant will be responsible for demonstrating professionalism when executing administrative functions with record keeping, documentation and performing daily tasks for the sponsoring programs’ families, students and staff. This position will report to the Director of the Early Learning Centers’ and assistant in carrying out of the day to day operations of the center in the absents of the director.

Perform a wide range of administrative and office support activities for the department and/or managers and

supervisors to facilitate the efficient operation of the program.

  • Provides office services by implementing administrative systems, procedures, and policies, and monitoring administrative projects.
  • Maintains all personnel folders and ensure that all staff members complete staff orientation as specified by sponsoring agency
  • Maintains tuition account ledgers while recording and distributing tuition receipts
  • Records accounts receivables (TANF, Program for Parents, Wraparound, etc.) for monthly billing
  • Preserves the confidentiality of files and other information
  • Determines, maintains and monitors student eligibility status for food program and record of the actual meals served for monthly child and adult food program for Community Hills / Harmony House
  • Types all correspondence (agendas, letters, memorandums, training / staff meetings, ABBOTT program and parent / staff handbooks)
  • Maintains an accurate record of each staff member completing eight (8) hours of continuing staff development each year in the following core areas: Child growth and development; Positive guidance and discipline and Health and safety procedures
  • Conducts criminal history record and fingerprint background check for all staff
  • Monitors daily classroom coverage AM / PM
  • May serve as Fundraiser Co-Chair; Trip Chaperone / Head Coordinator and/or Volunteer liaison for the high school students / nursing students
  • Central point of contact for early learning centers accountant(s)
  • Adheres to the Mission and maintains high standards
  • Ensures that all personnel records are accurate and meets state requirements
  • Maintains organized system of all year to year correspondence
  • Maintains accurate book keeping of tuition and other accounts receivables
  • Monitor and forwards supply maintenance invoices
  • Monitors and prepares annual building code inspections (includes Department of Health, Sanitation and Fire Inspection)
  • Reports repairs to Environment Services Department
  • Collects tuition (subsidized and private) on a weekly / monthly basis
  • Maintains quality of services
  • Exceptional analytical and problem solving abilities
  • Ability to work and interact with departments throughout the organization
  • Adheres to policies and procedures of New Community Corporation and Affiliates
  • Preserves the confidentiality of files and other information
  • Results driven, self- starter with high attention to detail and sense of urgency. Must also be highly customer- oriented.


  • Demonstrates general knowledge of early childhood laws and practices of childcare centers
  • Demonstrates ability to establish and maintain effective working relationships
  • Demonstrates ability to multitask effectively; highly organized and have strong problem solving skills
  • Demonstrates ability to communicate effectively both orally and in writing
  • Demonstrates working knowledge of TANF, Program for Parents and Wraparound procedures
  • Strong proficiency with Microsoft Office suite; skilled in database management and record keeping
