Office Manager/EA Role!
Full Time Position - $70-75k
Concord, CA!
Specific Duties and Responsibilities include, but are not limited to, the following. Other duties may be assigned.
- Assistant to President:
o Assist President as required, including preparation of correspondence and documents, scheduling appointments, coordinating travel arrangements, printing and filing documents, opening files, answering phone.
- Office Manager:
o Supervise receptionist. Coordinate receptionist desk coverage.
o Supervise Administrative Assistant, if any.
o Coordinate purchase and maintenance of office equipment.
o Communicate with vendors regarding authorized users of commercial accounts (Home Depot, Ace).
o Approve office invoices for payment.
o Communicate with office service providers, i.e. shredding, vending machines, janitorial and supplies services.
o Oversee e-waste disposal and recycling.
o Coordinate advertisement in Concord and Pittsburg publications.
o Coordinate employee seminar reservations.
o Coordinate office printing and copy services.
o Coordinate inter-office deliveries among Owner companies.
o Maintain property plan storage and documentation.
o Oversee answering service matters.
o Oversee ordering of office and break room supplies.
o Arrange for and oversee employee relations functions, including holiday party, summer outing, anniversary recognitions, etc.
Education and/or Experience:
- High school diploma/some college.
- Minimum five years experience as executive assistant.
- Minimum five years office management experience.
Computer Skills:
- Proficient in Microsoft Word.
- Basic knowledge of Excel.
- Experience with the internet and e-mail.
- Familiarity with office equipment.
