The Payroll/Tax Specialist ensures timely and accurate processing of biweekly payroll for approximately 500 exempt and non-exempt employees.
Daily tasks may include the following:
-- Payroll: Personally process biweekly payroll including obtaining time & attendance reports and ensuring proper treatment of all taxes, benefits, and garnishments. Ensure systems are set-up and updated to reflect all employees with employment status, wages, and withholdings. Prepare Accounting and HR reports, including biweekly, monthly, quarterly, and year-end reports (gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions.) Audit W-4s, payroll balance sheets, YTD earnings. Develop expert-level knowledge of payroll, time & attendance, and benefits systems.
-- Tax: Reconcile payroll tax reporting after each pay run to ensure accurate filings by payroll provider. Monitor quarterly tax filings. Reconcile cash activity to payroll registers and payroll provider reports. Reconcile payroll reports to 941’s and W-2’s. Identify and resolve any negative wages. Registrations for new taxing authorities as needed. Set up new tax codes in payroll system and with payroll provider. Research and reconciliation of payroll taxes from prior periods
Follow up and monitor tax notices received
Gather and report requested data to internal and external recipients as requested
-- Bachelor’s Degree in Accounting or equivalent experience
-- Certified Payroll Professional (CPP) certification preferred
-- Minimum 2 years’ experience using electronic payroll, time & attendance, and benefits administration systems
-- Minimum 2 years’ experience with multi-state payroll processing for a distributed workforce
-- Minimum 2 years’ experience with payroll tax filings and compliance
-- Minimum 2 years’ customer service experience
-- Prior system conversion experience a plus
-- High degree of accuracy and attention to detail
-- Ultipro experience preferred
-- Experience reconciling W-2 forms.
-- Effective, positive written and verbal communication skills with employees, peers, and managers
-- Proficiency with Microsoft Office applications including Excel, Outlook, and Word.
