Job Description

Newport Printing Solutions (NPS) is a print and promotional products distributor located in Brea, CA. We are a family-owned company that exists to create print management experiences where convenience and creativity come together for our clients.

The Role: We are seeking a highly organized and tech-savvy Client Service professional with expertise in order management and streamlining workflow processes. Our ideal candidate will have experience using cloud-based software and processing information from multiple channels to optimize both the client journey and team productivity.

You will be the liaison between our sales team, production, and our clients. Your goal is to drive customer satisfaction and keep orders & communication moving smoothly from start to finish, always keeping our clients' objectives and deadlines in mind. This position requires technical aptitude in computer tools and software, comfort navigating applications, and high-level attention to detail. You must have the ability and instinct to organize data, prioritize tasks, and ensure that each job’s deadline is met. A typical day may include:

  • Communicating frequently with clients/sales team/vendors on order updates, concerns, and suggestions
  • Downloading and processing purchase orders via multiple channels (email, order form, online store, phone)
  • Setting up and maintaining new clients, vendors, and products in our order management software
  • Following up on quote requests and orders in production; updating status/notes in the system to reflect the order’s current stage
  • Daily and weekly reporting of orders & inventory to ensure all are processed, delivered, and billed in a timely manner.
  • Sourcing products for our sales team based on client requests

Optional technical tasks can include:

  • Assisting in creating product presentations for clients in Microsoft Powerpoint & our online storefront
  • Using vendor templates to prepare client artwork and small typesetting projects (Adobe Illustrator, Adobe Acrobat Pro)
  • Cross-training on client online store setup & maintenance
  • Reporting bugs you encounter in any of the programs we use

This job is for you if:

  • You’re great with computer systems; tech savvy, eager to learn new software, and curious to experiment with new technology.
  • You have a positive attitude, service-friendly personality, and work well in small teams (4-6 people in the office on average)
  • You love providing clients with a great experience from start to finish
  • You possess patience, empathy, superior communication skills, attentiveness, and the ability to think on your feet
  • You are proficient at analyzing problems and confident in recommending solutions to clients/teammates/management
  • You are driven and want to excel at what you do
  • You’re willing to wear multiple hats when the team needs to pull together to get a special project done
  • You can and will see what needs to be done and tackle it

Optimal (but not required) skills include:

  • Basic understanding of print file requirements (digital & offset)
  • Knowledge of printing terminology: CMYK, spot colors, paper stock varieties, screen printing vs. heat transfer, run charges, etc.
  • Basic understanding of distributorship models, printing, and/or promotional products
  • History of suggesting ways to improve efficiency, revenue, and/or growth within your team
  • History of working independently and/or self-managing your workload priorities
  • History of working with a Sales team, either in a supporting or Inside Sales role
  • Creative background (Adobe Creative Cloud, Marketing, Social Media, etc.)
