Job Description

The Executive Administrative Administrative Assistant will provide nearly invisible support to the regional executive team members, acting with little supervision, anticipating needs while managing the day‐to‐day workflow and prioritizing various projects. This is full time position and required to be onsite daily.

Essential Functions:

  • Perform day-to-day administrative tasks, such as opening, sorting, distributing correspondence, mail and faxes, and signing for packages.
  • Perform general office duties, including ordering supplies, maintaining records, filing, typing and designing general correspondence, memos, charts, tables, graphs, business plans, meeting minutes, etc. 
  • Manage travel itineraries for executive team with travel agency, including flight/hotel booking, rental car reservation etc.
  • Arrange corporate events to take place outside of the workplace, such as golf tournaments, fund-raising events and staff appreciation events.
  • Coordinate general facility maintenance with external partners (repairs, cleaning, landscaping, etc.)
  • Coordinate internal/external meeting arrangements, including location recommendations, scheduling, and room preparations, coordinating of refreshments, snacks, and meals.

Responsibilities:

  • Coordinate executive communications, including taking calls, responding to emails and interfacing with clients
  • Prepare internal and external corporate documents for team members and industry partners
  • Uphold a strict level of confidentiality.
  • Maintain an organize filing system of paper and electronic documents.
  • Develop and sustain a level of professionalism among staff and clientele.
  • Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.

Supervisory Responsibilities:

Individual-contributor position.

Education and/or Experience: 

Associate or Bachler degree recommended; and a minimum of five (5) years related experience; or equivalent combination of education, vocational training and experience.

 Knowledge, Skills, Abilities:

  •  Advanced skills and proficiency in Microsoft Suite. Excellent Excel skills (i.e., tables and formulas), Strong PowerPoint (presentations, multimedia), Word, Access, and Outlook.  Ability to schedule appointments and optimize Outlook features.
  • Ability to exercise discretion regarding confidential matters. Dependable and trustworthy, ability to be truthful and be seen as credible in the workplace.
  • Strong organizational skills. Able to follow a systematic method of performing tasks.
  • Ability to exhibit a business-appropriate demeanor towards others and show consideration for and maintain good relations with others.
  • Ability to perform same mental activities repetitively without stopping.
  • Ability to utilize available time to organize and complete work within given deadlines. 
  • Ability to coordinate and adjust actions in relation to others’ actions. 
  • Ability to perform work accurately and thoroughly, paying attention to the details of a project or task. Shows thoroughness in completing work tasks.
  • Ability to communicate effectively (clearly and concisely) with others in writing. Good punctuation, spelling, grammar.
