Administrative Assistant

Reports To


Hours: Monday – Friday 8:00 am to 5:00 PM

Dress Code: Business Casual

Job Overview

This position is responsible for answering multiple phone lines timely, Create and maintain filing systems, both electronic and physical, manage accounts receivable/payable, bid proposals, statements, credit cards and payroll. You must be able to focus, be self-motivated, and be efficient in all aspects of this job.

Responsibilities and Duties:

  • Answer phone, direct call to appropriate department
  • Accounts Payable/Receivable
  • Payroll/Human Resources
  • Assist Project Managers with bid proposals, estimates and billings.
  • Any other projects as assigned by the Manager(s)
  • Must be able to meet deadlines


  • Bilingual is a plus
  • High School Diploma or Equivalent
  • Proficient in Microsoft Word, Excel & Outlook
  • Decision Making
  • Communication and collaboration
  • Organizational skills
  • Proof all work for accuracy
  • Be able to prioritize projects
  • Be and stay focused
  • Excellent communication skills both verbal and written
  • Self-starter and able to work independently
  • Must be able to sit for several hours at a time
  • Finger dexterity (most of the day is spent using computer & keyboard)
