Mosaic Pharmacy Service is a closed-door pharmacy that provides comprehensive pharmacy care to medically complex and vulnerable seniors. We provide a patient-focused, pharmacist-driven care model in collaboration with health systems, assisted living facilities and health plans. Job Overview

The Office Coordinator ensures patients receive their life-saving medication on time and that key office functions continue without disruption.  Reporting to the Director of Strategic Operations, core day-to-day duties include managing our facilities, handling supply inventory, overseeing our shipping operations, forecasting office needs, basic equipment maintenance, vendor management, and other duties as needed. This is a full-time role with annual compensation based on experience.


Primary responsibilities

  • Managing our relationships with shipping and supply companies.
  • Optimize shipping operations including monitoring of lost/delayed shipments.
  • Ensuring adequate levels of all non-pharmaceutical supplies including shipping and office supplies
  • Assisting Pharmacy Operation Assistants during times of need
  • Perform basic bookkeeping duties, specifically entry and management of non-pharmacy supplies
  • Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems and personal computers.
  • Manage key vendor relationships, specific to the facility (ie. landlord, cleaning companies, repair services, etc.)
  • Sort and distribute incoming and outgoing mail.
  • Perform minor/moderate maintenance on office equipment including changing toner cartridges, etc.
  • Coordinate large, on-site meetings
  • Work with IT for computer assistance.
  • Writing protocols and procedures as needed.
  • Other duties as assigned.


Professional qualifications

  • High School Diploma or equivalent
  • Experience managing office and shipping operations, preferably within healthcare
  • Familiarity with office processes, including filing, handling mail and inventory
  • Computer literacy and facility with word processing, spreadsheets, data entry and basic shipping software
  • Accurate and efficient typing skills for data entry and other documents
  • Good communication and interpersonal skills, both written and verbal
  • Excellent customer service acumen
  • Attention to detail, solid organization and multi-tasking abilities
  • Pre-employment background check and drug screen mandatory
