Position Details









General Statement


Campus Planning, Design and Construction (CPDC) is charged with the responsible stewardship of campus resources including analyzing current and potential university space resources to ensure such spaces are utilized to support the University's Mission. CPDC is the primary office to ensure departments are stewards of campus space including meeting target space guidelines and utilization rates. The Real Estate Specialist will be responsible for managing real estate transactions relating to campus spaces resources including reviewing leases, administering Memorandums of Understanding, tracking taxes, exemptions, assessments and payments related to leased facilities.








Duties and Responsibilities





+ Administer, coordinate and manage real estate processes for the University.




+ Manage real estate transactions to include acquisitions, sales, disposals, leases, gifts, donations, facility use agreements and related real estate activities.




+ Research, identify, recommend and prepare documentation and presentations of real estate opportunities.




+ Analyze and research all University real estate issues; coordinate information internally with related colleges, campuses, and/or internal departments.




+ Coordinate with the MSU Alumni Foundation regarding real estate transactions related to University acquired, sold and leased properties.




+ Research, obtain and distribute tax documents, tax maps, and deed information as needed to provide others with accurate and current real estate information.




+ Assist with negotiating lease contracts and comparable agreements, and coordinate related processes on behalf of all University locations.




+ Lead, arrange and complete necessary legal reviews and establish working relationships with University's legal counsel, Risk Management and all other related due diligence processes including Montana DNRC audits.




+ Build, maintain and update databases; generate established reports in timely manner.




+ Process various agreements and prepare for University distribution.




+ Respond to and direct service calls to the proper entity to provide service as required for all properties.




+ Manage leased buildings such as assigning keys and access codes and other duties as assigned.




+ Interact with contractors, legal counsel, risk management representatives, environmental consultants, surveyors, landlords, tenants and State of Montana DNRC, DOR and DOL.




+ Serve as member of committees; attend meetings, as needed, to represent the University in real estate matters.




+ Create, improve and validate existing processes including due diligence processes, legal reviews, constitute and administrative communication systems, compilation of input, recommendations for actions or follow up on each real estate transaction.




+ Participate in strategic, capital and master planning endeavors to provide input and guidance on related real estate plans and potential projects.




+ Participate with professional organizations and university real estate groups.




+ Lead special projects as assigned.











Required Qualifications - Experience, Education, Knowledge & Skills





+ Bachelor's degree in real estate, business administration, or related field, or an equivalent combination of relevant education and experience.




+ Demonstrated competence in complex real estate practices and transactions.




+ Demonstrated experience working for an educational institution or public agency.











Preferred Qualifications - Experience, Education, Knowledge & Skills





+ Real estate agent or broker license.




+ Master degree in Business Administration or Real Estate Development.




+ Demonstrated experience participating in strategic, capital and master planning endeavors to provide input and guidance on related real estate plans and potential projects.




+ Demonstrated experience using real estate software to organize real estate transactions and documents.

+ Respond in a timely manner to University officials.




+ Maintain confidentiality of records and information.




+ Represent the department and MSU to others in a professional and courteous manner.
