File Clerk / Office Assistant
We are seeking an experienced full time File Clerk/Office Assistant for our busy law firm. The ideal candidate will provide file maintenance for the file room and professional clerical and administrative support for the office staff, paralegals and attorneys. Qualified candidates handle a high volume work load efficiently and accurately, in a fast-paced working environment.
ESSENTIAL JOB FUNCTIONS:
Organizes and maintains files.
Closes files to be sent to storage according to instructions from the Office Manager and the Little Rock Office Services Manager.
Retrieves files from storage as necessary.
Assists the Office Manager in maintaining storage space in a neat and orderly manner.
Performs a variety of clerical duties, e.g., types labels, envelopes, etc.; sells postage stamps; logs all incoming deliveries; furnishing office supplies as need etc.
Revises and produces final correspondence.
Data entry when additional help is needed for main file room.
Time entry assistance for attorneys, paralegals and law clerks.
Assist legal assistant(s) with monthly firm billing and mail when needed.
Photocopying correspondence, legal documents, and other material as required.
Opens and maintains files for which attorneys are currently primary attorney. Becoming familiar with location of other files with which attorney is involved so that file copies of each document and/or letter can be directed to the appropriate assistant.
Provides temporary clerical support for other attorneys when their secretaries are absent and assisting with overflow work as necessary.
Provides administrative support to attorneys and staff as needed.
Performs other duties as required.
The equivalent of a high school education.
One or more year’s on-the-job legal experience.
The ability to type at least 60 wpm.
Excellent spelling and grammatical skills.
Must have strong interpersonal communication skills.
Must have excellent organizational ability.
Must be able to handle highly confidential information in a professional manner.
Must be able to relate professionally and positively to staff and to work cooperatively with firm personnel at all times.
Must be capable of maintaining regular attendance.
Must present neat, professional grooming and appearance.
