Your Role

We are looking to on board a motivated and dedicated Executive Assistant to join our rapidly expanding team. This individual will provide exemplary executive administrative support to the Chief Executive Officer. The ideal candidate will be detail-oriented; possess strong organizational; written and verbal communication skills; enjoy working in a dynamic, fast-paced environment; and be able to adapt as circumstances require. In addition, the ability to exercise good judgment in all situations is required.

This is currently a remote position but will transition to a hybrid remote position in early 2023. The individual in this position may be required to report locally as needed by the CEO and may be required to travel as needed. As such, individuals interested in the position must be located in the Austin, Texas area with a reasonable commute to the Northwest Austin area.

What you are accountable for:

  • Work closely and effectively with the CEO;
  • Keep informed of CEO’s upcoming commitments and responsibilities on a daily basis;
  • Manage email inbox of CEO;
  • Assist on strategic projects as needed by CEO;
  • Manage an extremely active calendar of appointments;
  • Arrange complex and detailed travel plans, itineraries, and agendas, and compiling documents for travel-related meetings;
  • Interact with internal and external executives;
  • Manage the CEO’s expense reports;
  • Compose and prepare correspondence;
  • Maintain and ensure confidentiality of certain information and correspondence;
  • Handle matters expeditiously, proactively, and follow-through on all projects to successful completion;
  • Handle incoming and outgoing electronic communications on behalf of the CEO;
  • Assist with preparation of presentation materials and reports;
  • Performing minor accounting duties;
  • Organize meetings, including scheduling, and meeting reminders;
  • Provide hospitality to all guests, especially those meeting with the CEO;
  • Attend executive meetings and track actions items;
  • Assist with company events as needed;
  • Run errands for the CEO, professional and personal, and for company matters as needed;
  • Other projects/duties as assigned from the CEO;
  • Interfaces with internal support departments to establish positive customer experience;
  • Ability to work under pressure and meet deadlines, while maintaining a positive attitude;
  • Ability to work independently and carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices;
  • Ability to multitask and prioritize;
  • Ability to thrive in a fast-paced environment with frequently shifting priorities;
  • Ability to maintain regular, punctual attendance consistent with company policy ;
  • Must be able to comply with safety standards and best practices;
  • Perform other duties as assigned.
Physical Demands:
  • Environment: office;
  • Ambulatory skills: sit, stand and walk for long periods of time;
  • Ability to transfer weights up to 15 lbs.;
  • Travel: up to 30% of the time
Requirements:
  • At least five years of experience in the public or private sector handling administrative and operational functions for executive or senior level leadership. Functions may include office management, human resource administration, executive assistance, and business administration.
  • Software and database knowledge and experience, i.e. Microsoft Office, Google products, etc.
Preferred:
  • Prior CBRN (chemical, biological, radiological and nuclear) specialist experience;
  • Prior military or law enforcement experience. Veterans/current military: provide DD-214 or statement of service;
  • Tactical gear market experience or at a minimum, a strong interest;
  • Experience with the Entrepreneurial Operating System (EOS).
