Milrose provides a comprehensive suite of building compliance solutions to the industrial, academic, healthcare, institutional, residential, commercial, retail, and entertainment business sectors. Services provided by Milrose Consultants, Permit Advisors, and Integrated Group include but are not limited to: Code Consulting, Zoning Analysis, Special Inspections, and Permit Expediting services for New Buildings, Interior Alterations, Permits, Violation Research, Violations Dismissals, Letters of Completion, and Certificates of Occupancy.

Summary

The Project Coordinator is responsible for assisting the Project Manager Level 2(PM-L2) and Project Manager Level 1(PM-L1) in all tasks required for the completion of a project. The Project Coordinator learns all aspects of the job, ensuring continuity in the absence of the Project Manager Level 1(PM-L1)

Essential Duties and Responsibilities include the following, but are not limited to:

  • Coordinates with the PM-L2 and PM-L1 to help plan, coordinate project activities to ensure the attainment of objectives and schedules.
  • Acts as the PM-L1 backup.
  • Completes project deliverables and ensures quality control.
  • Updates WAVE (Milrose Internal system) regarding receivables, project updates and billing triggers. Follow with internal and external stakeholders and tracks all paperwork, plans or electronic submissions in a timely manner.
  • Prepares municipality documents (electronic or hardcopy) for submission of filings, permits, objections, variances, or other applications as required.
  • Schedules appointments with Department of Buildings Plan Examiners.
  • Adheres to company’s standard operating procedures to successfully execute tasks.
  • Notifies PM-L2 or Production Manager of any problems that arise during a project to work towards resolution
  • Circulates request for Information (RFI) for initial sign-off of applications and follow up with parties as necessary until process is complete.
  • Process applications by generating required paper or electronic submission for issuance and tracking with contractors, clients, and design applicants.
  • Tracks applications on municipal agency portals for filing, permit or sign-off as required.
  • Performs additional duties as needed.

Education and/or Experience:

  • Bachelor’s degree or two years comparable experience required.
  • Strong communication skills, both oral and written, are a must as are solid listening skills.
  • Must be a team player with strong initiative, a desire to learn and able to complete tasks independently on project as directed by manager, PML-1 or PM-L2Must possess strong organizational and problem-solving skills along with the ability to multi-task and work independently.
  • Experienced in reading and comprehending engineered drawings.
  • Ability to research, adapt, interpret, communicate different municipality portals or websites.
  • Proficient in use of computer with Microsoft Word, creation and editing of Excel, creation of PowerPoint presentations, Outlook, Teams and Adobe Acrobat skill sets.
  • Experienced in Salesforce platform.

Demonstrate flexibility in satisfying customer demands in a high-volume production environment Maintains the highest levels of customer care while demonstrating a friendly and cooperative attitude either verbally or in emails.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

The employee is occasionally required to sit; stoop, kneel, crouch or crawl. Vision abilities required by this job include close vision, distance vision, and ability to focus.

Expected Hours of Work

This is a full-time position, and hours of work and days are generally Monday through Friday, 8:30 a.m. to 5:00 p.m.

Travel

Travel to client site or municipal agency as expected for this position. Associate may be required to attend meetings at the discretion of management and/or if it is project related.
