NOTE: Per MWU policy, employees are eligible to apply for internal positions upon completing a minimum of six months of employment at MWU in their current position, have a satisfactory performance record and have no disciplinary actions within a 12-month period. The Program Coordinator, under the direction and supervision of the Manager, Graduate Medical Education, provides daily administrative and programmatic support to Midwestern University OPTI, Sponsoring Institution, Graduate Medical Education office (GME), and sponsored residency programs in order to maintain ACGME compliance and accreditation.
+ Residency Program (s) Communication - Provide excellent customer service. Serve as liaison between MWU OPTI Graduate Medical Education office and hospital/clinic program coordinators, by facilitating ongoing communication for the purpose of oversight and maintaining program compliance
+ Institution and Program Documentation Requirements - Coordinate the administrative paper-work flow for resident/fellows, GME office, sponsoring institution and program required documentation; on-boarding, ERAS applications, NI demographic information, resident/fellow/faculty profiles, monitoring and tracking program activity and ACGME required data collection for the purpose of maintaining accreditation and compliance
+ Residency Program, GME and Institution Support - Perform all required duties of the GME Residency Coordinator, coordinate and assist with the function of MWU GMEC, special projects, resident/fellow/faculty learning resources, faculty development and educational events
+ Teaching Faculty Support - Compile data reports for faculty/preceptor CME credits and CME certificates, monitor and track reimbursement payments to teaching faculty/receptors, and monitor program letters of agreement and master affiliation agreements
+ Residency Management System Support - Serve as New Innovation software administrator - assist with monitoring resident/fellow/faculty activity and reports to ensure ACGME program and institution compliance

Education and/or Experience
High School diploma is required. Associates degree or Bachelor's degree is preferred. Must have 5-7 years of previous administrative support experience with at least 3-5 years of experience in a hospital graduate medical setting with experience coordinating a graduate medical program. Must have knowledge of ACGME Common Program requirements and specialty requirements. Excellent customer service and organizational skills with excellent written and oral communication skills.
Computer proficiency in MS Office (Word, Excel, Outlook). Proficiency with New Innovations or other RMS systems required.
Intermediate skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routing reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
Intermediate skills: Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Basic skills: Ability to add, subtract, multiple, and divide all units of measure using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to interpret bar graphs.
