Position Summary

The Administrative Assistant plays an important role in the organization by directly supporting and reporting to the Vice President as well as performing a number of tasks related to the branch’s administrative functions.

Essential Functions

  • Provide administrative assistance to the Vice President/Regional Director.
  • Answer incoming calls, provide responsive and courteous service to callers by providing information or routing them to the appropriate party as needed.
  • Greet and assist visitors in a positive, professional manner; inform proper staff their visitor has arrived
  • Calendar maintenance for the Vice President/Regional Director as well as the office conference room.
  • Coordinate events, meetings, and conferences with cross-functional departments; prepare agendas and set-up meeting facilities as needed.
  • Collect, sort, and correctly distribute incoming mail and packages; log all packages per branch procedure.
  • Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • Make copies and prepare other deliverables for meetings and marketing campaigns including mailings.
  • Maintain a tidy and comfortable office space by picking up waste, watering plants, tidying kitchen area, refreshing magazines, etc.
  • Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • Weekly beverage and office snack purchasing/replenishment; Responsible for keeping kitchen area tidy and presentable.
  • Compiles routine and special reports for the Vice President.
  • Compose, type, and distribute correspondence and memos.
  • Create and update forms for file flow and efficiency.
  • CRM database maintenance.
  • Create and update marketing materials for origination team.
  • Manages the Marketing Credit Program for origination team.
  • Partner with IT helpdesk and assist in the troubleshooting of basic office technology issues.
  • Partner with IT for onboarding of new employees.
  • Responsible for monthly expense report reconciliation.
  • Perform general clerical duties and office support, to include, but not limited to: photocopying, faxing, mail distribution and filing.
  • Perform other duties as assigned.

Qualifications and Requirements

  • High School Diploma or equivalent required. Associate’s or Bachelor’s Degree preferred.
  • Minimum of 3 years’ experience, preferably supporting at the manager or executive level.
  • Prior administrative experience in a relevant industry such as mortgage lending, banking or finance preferred.
  • Ability to type 60-70 wpm.
  • Passionate about delivering excellence in customer service.
  • Must be organized and able to multi-task in a fast paced, rapidly changing environment.
  • Must be capable of executing duties with limited direction and oversight.
  • Must be able to prioritize with limited direction and be extremely flexible.
  • Must be detail-oriented and exhibit problem-solving skills
  • High levels of diplomacy, tact, and confidentiality a must.
  • Demonstrated patience and professionalism when interacting with both internal and external customers.
  • Proficiency with Microsoft Word, Excel, PowerPoint and Publisher.
  • Excellent verbal and written communication required; excellent spelling, grammar, and punctuation skills.
  • Self-motivated with a strong attention to detail.
  • Ethical, with a commitment to company values.
