Summary

 

As a member of the Ann Arbor Meals on Wheels (AAMOW) team, the Client Services Coordinator will play a vital role in protecting the health and quality of life for the individuals that are served through our program. With the support of more than 300 volunteers, AAMOW serves 400+ individuals in our community each year who are homebound due to physical and/or mental health reasons. The individual in this role will be responsible for supporting AAMOW’s front office operations, which includes significant client and volunteer contact and communication. To be successful in this role, candidates should have a passion for working with older adults and individuals with disabilities. AAMOW is seeking candidates with exceptional interpersonal, critical thinking, organizational, and problem solving skills who can successfully work within a dynamic, interdisciplinary team.

Responsibilities*

 

  • Respond to phone and email inquiries regarding AAMOW’s services
  • Serve as a main point of contact for clients, their support networks, and volunteers
  • Write case notes and make adjustments to client meals in AAMOW’s client database
  • Route and onboard clients
  • Conduct wellness checks with clients and follow up with their emergency contacts
  • Deliver meals on volunteer routes and AAMOW’s staff routes, as needed
  • Support general office operations, including preparing the office for each delivery day, ordering supplies, and adjusting client meals
  • Provide staffing support on the weekends
  • Provide support for the Volunteer Coordinator, as needed, including contacting volunteers to fill open routes
  • Assist with quality improvement activities
  • Other duties, as assigned

 

Required Qualifications*

 

Senior Level:

  • High school diploma/GED
  • 5+ years of experience providing administrative support in a community-based organization, school, health department, clinic, or other relevant setting with diverse groups
  • Demonstrated ability to work independently and collaboratively as part of a team
  • Excellent written and verbal communication and customer service skills, both in person and on the phone
  • Demonstrated ability to prioritize and complete tasks accurately and thoroughly
  • Valid driver’s license and ability to drive personal vehicle within service area
    • (Note: this position does not provide mileage reimbursement for local travel)
  • Physical ability to lift and carry a minimum of twenty (20) pounds
  • Due to administrative functions, must pass pre-employment screening

Intermediate Level:

  • High school diploma/GED
  • 2-5 years of experience providing administrative support in a community-based organization, school, health department, clinic, or other relevant setting with diverse groups
  • Demonstrated ability to work independently and collaboratively as part of a team
  • Excellent written and verbal communication and customer service skills, both in person and on the phone
  • Demonstrated ability to prioritize and complete tasks accurately and thoroughly
  • Valid driver’s license and ability to drive personal vehicle within service area

  • Physical ability to lift and carry a minimum of twenty (20) pounds

 

Desired Qualifications*

 

  • Experience working with older adults and/or persons with disabilities
  • Experience effectively deescalating situations
  • Critical thinking skills that will lead to quality improvements and increase efficiency
  • Strong attention to detail
  • Skilled in organization, multitasking, and prioritizing tasks
  • Experience tracking and conducting work in accordance with grant requirements
  • Highly proficient in Microsoft Office
  • Experience working in client databases and online survey software (preferably ServTracker and Qualtrics)
  • Knowledge of the Ann Arbor area streets/communities
  • Familiarity with Michigan Medicine policies and procedures

 

Work Schedule

 

This is full-time, 40-hour per week position. Ann Arbor Meals on Wheels is open six (6) days per week, and the typical schedule for this position will be Monday-Friday with occasional Saturdays (anticipated once per month) and holidays. In the midst of COVID-19, AAMOW has consolidated our delivery schedule into three (3) days per week. As such, the person in this role will work in the AAMOW office with the team on delivery days (Tuesdays, Thursdays) and remotely on non-delivery days (Mondays, Wednesdays, Fridays). Once AAMOW returns to delivering meals six (6) day per week, the person in this role will work their full appointment in the office.

Background Screening

 

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
