Employment Type: Full-Time, Monday-Friday, 9 a.m.-5 p.m.

Location: Lansing, MI : In-Person (no remote options available)

ESSENTIAL FUNCTIONS

The administrative assistant will assist in day-to-day operations of the office, and support the work of management and other staff. This position is designed to build the capacity of the organization and plays a key role by performing various administrative and clerical tasks. Day-to-day tasks may include a variety of activities in the office, including filing, answering the phone, organizing documents, and more. Reliability and a strong work ethic combined with great communication skills are a must, as well as familiarity with all necessary office equipment, software, and procedures.

DUTIES & RESPONSIBILITIES

The administrative assistant will perform a wide range of duties including but not limited to the following:

Reception
  • Answer general phone inquiries using a professional and courteous manner
  • Direct phone inquiries to the appropriate staff members
  • Forward voicemail from the general mailbox to the appropriate staff member
  • Reply to general information requests with accurate information
  • Greet clients/suppliers/visitors to the organization in a professional and friendly manner
  • Sort incoming mail, faxes, and courier deliveries for distribution
  • Prepare and send outgoing mail

Human resources support
  • Support recruitment
  • Place job posting advertisements
  • Prepare applicant materials and distribution to interview team
  • Scheduling of candidate interviews
  • Conduct reference checks
  • Candidate communications as well as interview team communications
  • Manage onboarding of new employees
  • Process and manage documentation from quarterly check-ins and other HR processes/initiatives
  • Assist with employee files and other HR tasks as necessary

Office administration
  • Use computer word processing, spreadsheet, and database software to prepare reports and documents
  • Update and ensure the accuracy of the organization's databases and contact management systems (e.g., membership, eNews, etc.)
  • Provide secretarial and administrative support to management and other staff
  • Organize and manage office space
  • Manage office technology systems and equipment
  • Purchase, receive and store office supplies ensuring that basic supplies are available
  • Maintain the organization's calendar
  • Attend meetings and take minutes as needed (to include but not limited to biweekly staff meetings)
  • Support for meeting set up and internal hosted meals/activities

Other duties as assigned.

EDUCATION, JOB KNOWLEDGE, AND EXPERIENCE REQUIREMENTS

The ideal candidate should:
  • Have an associates degree in administration, human resources, or related field.
  • Possess strong communication and project management skills.
  • Have ability to solve problems, pay attention to detail, and follow through on tasks assigned through completion.
  • Possess strong customer service skills and comfort level with being the first point of contact with the organization.
  • Possess strong interpersonal skills and the ability to work effectively as part of a team.
  • Have a passion for working in the nonprofit and education sector, especially for postsecondary attainment.
  • Have strong written and verbal communication skills.
  • Have a strong and demonstrated commitment to equity.
  • Must be fully vaccinated and boosted against COVID19 to be eligible for employment.
