Office Assistant to Speech-Language Pathology/Occupational Therapy Staff
Hours vary (total 30+)
Must be flexible between: Monday through Friday 8:00a - 6:00p
Job Types: Full-time &/or Part-time opportunities
Schedule: Monday to Friday; possibly Saturday mornings
As the Office Assistant to Speech/Occupational Therapy Staff you will be expected to (including, but not limited to):
Answers door quickly and efficiently
Greets clients in a professional manner
Follow Covid-19 guidelines/completes screenings of all clients' before retrieving client from parent
Coordinates incoming speech, OT, and ADOS evaluations, including answering the door, directing family to waiting area, completing welcome packet and questionnaire (if needed), and notifying the appropriate therapist.
Notifies appropriate therapist of any client cancellations; assist with adding a client to an open cancelation space as needed
Assists therapists as needed with parents late for pick-up, i.e., staying with the client and calling family members
Answers phone calls, text messages and replies to voicemails within 24 hours
Fosters positive client relationships
Processes, sorts and routes incoming/outgoing mail, email and faxes for Speech/OT staff as needed
Coordinates scheduling of client appointments/ client availability and staff meetings
Manages new client paperwork and assists clients as needed
Assists therapists with therapy related activities including preparation of materials, cleaning, client and parent support as instructed.
Monitors inventory and orders/picks up at the request of Business Manager
Performs other administrative duties as assigned including but not limited to: filing, sorting, updating records, data entry and competitive research.
Responsible for inputting data, uploading/sending documents and creating patient portals in EMR System.
Accepting payments & inputting information into the EMR system
Maintains a safe and clean environment by organizing and sanitizing equipment following new COVID 19 safety standards
Other tasks as assigned by the ABA Clinic Director, On-site Client Relationship Manager &/or SLP/OT staff
Reports to: ABA Clinic Manager & SLP/OT
Qualified Candidates Must Possess:
Experience: working with children with disabilities: 1 year (Preferred)
Associate's Degree required
1-3 years of relevant experience; ie.: office management, experience with children, &/or children with disabilities
Outstanding organizational skills
Ability to work with children, parents and/or people with disabilities helpful
Ability to manage time effectively and prioritize tasks appropriately
Excellent communication and interpersonal skills
Committed to providing exceptional customer service
Strong attention to detail
Quick study and eager to learn
Demonstrate a self-initiative spirit
Proficient computer skills and able to operate general office equipment (printer, fax etc.) required
CPR certification required
Proficiency in Microsoft Office 365 required
