Job Description

Position summary:  The Receptionist is the first person clients and visitors will see. They are responsible for a variety of office support functions including greeting visitors, answering the phone, and processing the mail. Answering or forwarding general emails, mailing statements to clients, confirming appointments, and perform other functions as required by the Executive Director.  

Essential functions:  The duties identified below are the essential functions of the position. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

a.       Answering the phone and communicating with clients at the highest level of individualized customer service as promoted and established by Foundation

b.       Opening the mail, processing, and distributing to appropriate parties.

c.        Printing stamps

d.       Scan documents and store records

e.       Mailing customer account statements

f.         Delegating or responding to general email inquiries

g.       Confirm transactions for clients by phone and email.

h.       Printing statements for investor and loan accounts

i.         Updating contact manager database as required

j.         Assist the Executive Assistant by making and confirming appointments and RSVPs for meetings, collating and mailing  materials.

k.        Help keep the office neat and tidy, and keep the kitchen stocked.

l.         Organize, order and stock the office suppl

m.     Help provide materials and reports for the Executive Director for events and meetings out of the office

n.       Attend and participate in Board and committee meetings as requested by the Executive Director

o.       Support and assist Executive Director and Board of Directors as requested

QUALIFICATIONS:  To perform this position successfully, an individual must demonstrate regular, predictable attendance and be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge and skill required. The individual must be able to successfully pass background checks.

The qualified candidate must be supportive of the mission of the organization. Furthermore, the qualified candidate will understand that the organization’s clients are religious organizations and their members who represent the full spectrum of religious ideology, from conservative to progressive. The organization provides services to churches, regardless of their theological interpretation of social, political, and environmental issues.

Education/certification/licensure:  None

Experience required:

o   1 year work experience in a professional office setting

Knowledge and skills required:

o   Excellent verbal and written communication skills

o   Ability to work independently

o   Proficient in Microsoft Office 365 Applications including Outlook, Word, Excel, SharePoint, and Teams

Physical requirements:

To accomplish the essential functions of the position, one must be physically able to operate or work with computers, calculators, reference books, computer software applications, phones, and other standard office equipment. The physical activities of the position include talking, reaching, grasping, light lifting, bending, squatting, and other repetitive motions.

Working conditions:

o   Work is considered sedentary and performed mainly in a pleasant office environment with rare exposure to environmental factors.

o   Minimal safety hazards with general office working conditions.

o   The organization is considered an essential business under state orders and is in full compliance with local health orders related to COVID-19 and considers the safety of employees its top priority.

o   Hourly, Part Time

o   Hours are 10:00 to 3:00 M-Th and extended hours and Fridays as requested.

o   All employees are required to work extended hours on Board Meeting dates and other special events.
