Job Description

JOB SUMMARY:


Assist Director of the Bank’s operational activities by performing, or assisting in the performance of, the primary duties listed below.



REQUIRED SKILLS, ABILITIES, KNOWLEDGE, AND EXPERIENCE:


·High School diploma or equivalent is required. Bachelor’s degree preferred

·A minimum of 2 years Banking Operations experience preferred but not required.

·A minimum of 2 years with direct supervisory experience of 5 or more employees required.

·Managing complex operations processes, required.

·Experience with ensuring disciplined change control protocols are instituted and followed.

·Must have a good understanding of project management processes.

·A sound commitment to provide a high level of service necessary for accomplishment of the job and organization objectives, while creating and maintaining a positive work environment.

·Must have the ability to manage, organize, and control activities of projects and processes that may be complex in scope.

·Ability to solve practical problems and deal with a variety of on-going issues.

·Ability to work effectively under pressure. Skill at handling a variety of assignments simultaneously. Must be flexible and have the ability and willingness to work at a rapid pace within strict time frames.

·Communicates effectively both orally and in writing; presents ideas in a clear, concise, understandable, and organized manner.

·Experience with, and demonstrated skill to use the following: MS Office, systems of record in financial institutions, and employee performance tracking tools.

·Ability to interpret documents such as operating and maintenance instructions and procedure manuals and identify process improvements.

·Professional demeanor and appearance are necessary. Exhibit personal work habits that inspire the best in others.

·Ability to work independently, without direct or continuous supervisory support.


PRIMARY DUTIES:

Automated Control Process Oversight


·To maintain a working knowledge of company policies and procedures, regulatory policies, and procedures.

·Demonstrate a positive, professional, and supportive attitude about the company when working with co-workers, vendors, and the public; whether contact is by mail, telephone, or in person.

·Responsible for managing the integration and oversight of processes and procedures that are related to the Bank’s Operations Department Coordinates and creates procedures and other related documents to ensure accuracy and consistency in writing style, terminology, form, and format throughout the entire Bank’s Operations Department.

·Responsible for ensuring that production controls are established and monitored by employees that ensure Automated Control Processes and Operational Tools are performing as expected.

·Assist with auditing, account maintenance functions, call monitoring, and exception reporting as needed.

·Review complaints and root cause issues. This includes review direct reports responses to complaints to identify opportunities for training and/or gaps in automate control processes.

·Review and decision requests for automated control process exceptions.


Operational Tools Definition:


Operational tools are automated processes used by the bank or its servicer to perform repetitive tasks in an automated and consistent manner. These tools take data from the datawarehouse and/or the user and perform calculations, make adjustments, memo accounts, etc.


Automated Control Processes Definition:


Automated control processes are computer programs that run regularly to automatically perform certain tasks, such as fee waivers, adjustments, assigning accounts to queues to be worked, etc. Most of these tasks were formerly performed by the servicer or the Fiserv system itself.

Change Control Oversight

·Analyzing requests to determine if the change would impact other automated control processes.

·Ensuring requests for changes are standardized, align with Bank terminology and meet expectation prior to being submitted for voting.

·Provide coaching to change sponsors and acting as support through the change implementation.

·Responsible for coordinating the priority of all pending change requests that are in development.


Issue management

·Assist with prioritization of issues and assisting direct reports with meeting due dates. This includes ensuring that all actions related to the issue are completed timely to ensure the overall issue due date can be met. Support direct reports by assigning in removing roadblocks and providing recommendations for best resolution.

·Responsible for audit and approving issue impact files.

·Communicate weekly issue updates to the Director of Operations which includes issue status, supporting information for the current issue status, and requesting extension of due dates.

·Provide support to 2nd and 3rd line of defense by supporting questions, attending monthly Compliance meetings and preparing audit responses for findings.


Project Oversight

Act as a Project Sponsor for new and existing projects as assigned by management. This includes participate and support on all projects assigned to direct reports, which may include production working including the design of requirements, writing and implementing test scripts, etc. Project Sponsors will be responsible for the following:


·Manage multiple projects simultaneously, track project progress, and report milestone and potential issues with recommended resolutions.

·Approval of written requirements to be submitted to the Project Management departments at the Bank and CWS which will outline specifications of the project.

·Support direct reports in identifying tasks and assigning target dates for all worked required to complete the project.

·Track and manage the project schedules of direct reports.

·Communicate with the team and management. Keep all stakeholders and management informed of progress and issues. Seek appropriate assistance when issues arise. Have the ability to manage change and take active leadership in timely decision making.

·Approve testing of the setting, process or change to ensure that results meet written specifications and do not disrupt other Bank operations or processes.

·Ensure thorough post-production validation is completed by direct report to identify any deployment issues.

Manage Direct Reports

·Lead, coach, inspire, support and motivate direct reports.

·Apply strategic planning to determine company, department or unit objectives.

·Assist in setting employee goals and objectives.

·Develop staff to maximize potential.

·Delegate work duties to staff to attain objectives.

·Prepare all necessary performance appraisals and salary administration documentation for individuals directly reporting to this position.

·Ensure direct reports adhere to policies and procedures through the monitoring of employee tasks and responsibilities. Escalate any issues for resolution to the Director.

·Create monthly capacityand prioritization reporting for senior management.



Compliance with Laws & Regulations:

·Responsible for complying with all of the Bank’s internal control policies and procedures.

·Responsible for understanding and complying with all laws and regulations to which the Bank is subject.

·Responsible for communicating problems in operations, noncompliance with the code of conduct, noncompliance with laws and regulations, policy violations, or illegal acts.
