Job Description

Position Title:  Chief Financial Officer

Department:   Administration

Direct Reports:

·      Accounting Manager and other accounting staff (as applicable)

·      Human Resources Manager

·      Director of Security and Facilities


Reports to:      Executive Director


Position Description:  The Chief Financial Offer (CFO) will report to the museum’s Executive Director and lead, direct, and execute the museum’s financial policy while working closely with the Board, officers and staff. The CFO will lead, alone or in partnership with other staff as designated by the ED, all financial administration, business planning, budgeting, human resources (HR), Information Technologies (IT), and security and facilities. The CFO will work closely with the Treasurer and finance committee of the Board of Directors. Additionally, the CFO will have primary oversight of the New Brooks capital campaign and building project finances, working closely with campaign leadership, the Director of Development, and project consultants to ensure timely and accurate cost projections and records of pledged and received gifts and grants. Note: This and the below description of duties is not mean to be exhaustive. They may be increased or decreased due to shifting museum priorities and relative strengths of the CFO or others.


Strategic responsibilities:

·       Partner with the Executive Director on strategic and operational issues; make recommendations based on financial analysis and projections, cost identification, and allocation and revenue/expense analysis

·       Participate heavily in strategic planning and develop objectives and priorities for the museum in conjunction with the Executive Director

·       Manage long-term budgetary planning and cost management

·       Partner closely with every department of the museum

·       Partner with the museum’s finance committee to ensure alignment and understanding of fiscal policies for non-profits



·       Lead the process for budgeting and oversee the implementation of budgets

·       Oversee the Accounting function, ensuring that financial record systems are in accordance with Generally Accepted Accounting Principles, to include monthly financials and budget variance reports with distribution to: Staff Directors and additional staff with budgetary responsibility; Finance Committee, and /or Executive Committee, and/or Board

·       Manage cash flow and forecast cash flow monthly and other times, as necessary

·       Serve as primary contact for banking, investments, and endowment accounts; and serve as primary contact for General Insurance and other insurance as necessary . Manages relationships to optimize service and minimize cost to museum

·       Provide additional financial reports for grants and other fundraising purposes

·       Provide financial reports for Fixed Assets and other Capital Expenditures, by project

·       Oversee Payroll and Human Resources including but not limited to:

·       Quarterly and annual payroll tax reporting

·       File annual benefits return Form 5500 Workers’ Comp annual audit

·       Oversight of benefits administrator

·       Ensure compliance

·       Provide annual audit and Forms 990 and 990T

·       Includes responsibility for internal control, sound policies and practices

·       File the annual Charitable Solicitation registration

·       File the Annual Report due to the state of Tennessee

·       Ensure weekly reconciliation of finance records with development operations

·       Provide daily documentation of wire transfers, ACH deposits, stock gift sales, and other electronic banking transactions to development team

·       Coordinate with staff to ensure collaboration on financial, IT, and HR issues with all members of the Brooks team

·       Oversee systems in place for accounting, HR, and IT, and make recommendations for improvements as needed

·       Approve all purchase orders and requisitions over $100

·       Review and sign checks as appropriate

·       Prepare and submit quarterly billing reports to the City of Memphis

·       Maintain legal and business files of the museum, except for those maintained by the museum’s attorney

·       Work with the Treasurer, finance committee and the Director of Operations and Facilities to obtain budgeted funding from the City of Memphis

·       Supervise the Human Resources Manager and ensures that s/he works with the appropriate brokers to provide appropriate insurance and benefit plans; and oversees the payroll process, including associated payments to government agencies

·       Complete other tasks and projects as determined by the Executive Director with guidance from the Treasurer and Board of Directors


Education and Experience
The CFO will be a strong leader with approximately 7 -10 years of broad financial experience, including gathering and evaluating financial information and making recommendations to senior leadership. S/he will have experience managing finance, including accounting, budgeting, control, and reporting, and managing HR and IT functions for a mid-size non- profit with a budget of $4.5 million or similar organization or department.


The CFO will have a minimum of a BS or BA in accounting or finance. A CPA/CMA and/or MBA is preferred. S/he will be highly experienced in Financial Edge, Excel, Quickbooks and the like. S/he will be extremely well-organized and timely in all that s/he does. The CFO will show evidence of strong partnership skills with a CEO, Executive Director and/or other senior management. For-profit sector candidates will be considered. The CFO will demonstrate acute analytical skills and the ability to translate a strategic plan into an operational model. The CFO will be capable of being a thought partner with the Executive Director; s/he will be discreet and strictly maintain confidences. The CFO will work collaboratively and as a team player, employing both a customer service approach to all that s/he does internally/with stakeholders and a hands-on management style that encourages the professional development of staff and a dynamic and productive workplace.
